HAEMATOLOGY ADVANCED TRAINING IN VICTORIA, TASMANIA + NORTHERN TERRITORY This Guide contains information about how to use the Computer Matching service to register for the Haematology Advanced Training Match for this network. You will find the - Important Dates, Application Categories, Referee Nomination Process, CV Process, Notification of Match Results and Contact details of health services offering positions in the match. A checklist is included at the end of this Guide. Thursday 30 August– Friday 31 Health Services: August Health Service Nomination Form period (Health Services submit online their list of candidates in order of preference based on merit) Monday 03 September Computer Matching Commences Monday 10 September Match Results Available 10.00am Computer Matching results are available to candidates and Health Service administrators via the PMCV computer matching website (login required). Candidates have until 5.00pm Wednesday 12 September to accept a matched position From 10 September Reporting of post-match changes Health services report to PMCV with post-match changes: Names of matched candidates who decline a match position Names of candidates who subsequently accept vacant positions Wednesday 12 September Acceptance of matched position due by 5.00pm. Failure to respond by 5.00pm will result in revocation of offer. ELIGIBILITY CRITIERIA To be eligible to apply for selection as a Haematology Advanced Trainee undertaking pathology training with the Royal College of Pathologists of Australasia (RCPA), or a Haematology Advanced Trainee undertaking a joint training program in laboratory and clinical haematology with the Royal College of Pathologists of Australasia and the Royal Australasian College of Physicians (RCPA/RACP), an applicant must meet one of the following requirements: Royal College of Pathologists of Australasia (RCPA) Either, A. The applicant qualifies for registration as a trainee with the RCPA; that is: Hold a medical degree recognised for registration purposes. Be registrable as a Medical Practitioner. Medical graduates of universities outside Australia and New Zealand must satisfactorily complete requirements of the Australian Medical Council for the AMC Certificate and have obtained General Medical registration with the Australian Health Practitioner Regulation Agency (AHPRA). Have completed at least two year’s clinical experience post primary medical degree. In exceptional circumstances, applicants who do not have at least two years clinical experience may be considered provided that they can demonstrate alternative relevant experience of a similar level. OR B. The applicant is an Overseas Trained Specialist (OTS) assessed by the RCPA as requiring no more than 2 years additional assessment/training. Royal Australasian College of Physicians (RACP) To be eligible to apply for selection as a Haematology Advanced Trainee undertaking training in clinical haematology with the RACP, or a Haematology Advanced Trainee undertaking a joint training program in clinical and laboratory haematology with the RCPA/RACP, the applicant must be registered with the RACP, and have successfully completed Basic Training examination requirements. As examination results may be not available at the time of application, RACP trainees are encouraged to apply pending examination results. Residential qualification: Although the RCPA/RACP do not have any specific residential requirements for trainee registration, selection committees are aware that employing Health Service(s) or institutions may have citizenship/residency requirements that need consideration in appointment decisions. Applications from overseas trained doctors without FULL AMC certification will not be considered. Applications from overseas trained specialists who are not residing in Australia with a valid working visa will not be considered. Australian and New Zealand citizens and applicants with permanent residency who are eligible for appointment will be offered positions before those with temporary visas. 5 | Page PMCV - Haematology Advanced Training Match Candidates Guide 2018

REGISTERING FOR ACCESS TO THE MATCHING WEBSITE 18 June • REGISTRATION OPENS Please Note: If you have already registered for access to the PMCV Computer Matching Service website in a previous year, there is no need to re-register; you may login with your original username and password. If you cannot remember your username please contact the PMCV Computer Matching office on: (03) 9670 1066 or email computermatching@pmcv.com.au. If you cannot remember your password click on the “Forgotten password?” link to reset it. If you are a new user, please follow the steps below: Step 1 Go to the computer matching website at computermatching.pmcv.com.au and click “”NEW USER? Register Here”” Step 2 Click on “Are you a Candidate? Register here” Step 3 Select Haematology Advanced Training from the list of matches available. Then select the Application Category from the following screen. If you do not meet the eligibility criteria then you must not register for the match. Step 4 Nominate a username and password; this will be the login you use to access the Computer Matching site. Complete your personal details on the screen below and then click “Register” at the bottom of the screen. You should receive an email as a reminder of your username and candidate ID number. ADDITIONAL INFORMATION Once you have completed your initial registration you will need to complete the following mandatory details before your registration can be approved for inclusion in the match: 1. University, Graduation status, MBA (AHPRA) registration number and employment information 2. Completion of Candidate Preference List i.e. nomination of Hospitals / Health Services To enter your University, graduation status, MBA and employment details you will need to Log in to the computer matching system, Select “View/Edit Application” Scroll down the screen to enter the information that follows after your personal details Continue scrolling down to enter your Candidate Preference List. CANDIDATE PREFERENCE LIST (CPL) The Candidate Preference List is your list of hospitals, in preference order, that you wish to be considered for in the matching process. Select Health Services from the drop down menu you wish to be considered for a position at. You must complete your Candidate Preference List (CPL) no later than Friday 27th July 2018. At the bottom of the screen, please tick and date the declaration to state that you understand the terms of the registration for the computer match. 9 | Page PMCV - Haematology Advanced Training Match Candidates Guide 2018
This will take you to a screen to review what you have entered. Click on “Submit” to save the registration and Health Service preferences. The following screen will display once this is saved. Changing Preferences You are able to add and change your preferences up to Friday 27th July by selecting “View/Edit Application” from the left hand menu bar or “Edit your CPL” from the Actions section. Between 28th July and 29th August 2018 you can only delete or re-order your existing preferences or withdraw from the Match. First, go to “View/Edit Application”. Scroll to the bottom of the page, then click “Save and Continue”. Then, you can change the order of your preferences by moving up / down or delete your existing preferences. Withdrawing from the Match Candidates wishing to withdraw from the Match must do so by Wednesday 29th August 2018. To withdraw from the Match login to your account and click on “Withdraw from Match” from the bottom right of the screen under Actions. CPL Status After you enter your preferences, your CPL status will change from “Access Approved” to “CPL Pending”. Once the PMCV has verified your eligibility, and your application is approved for inclusion in the match, your CPL status will change to “CPL Approved.” The CPL status must be “CPL Approved” to be included in the match (please note at peak times it can take few days to approve registrations). CPL Status Definitions: CPL Status Definition Participating in Match Access Approved: Candidate has applied for access to the site but has not entered preferences NO (i.e. CPL has not yet been submitted) CPL Pending: Preferences entered (i.e. CPL submitted) – Awaiting PMCV approval NO CPL Approved: CPL submitted and CPL Approved for Participation in Match YES Withdrawn: Match application was withdrawn at the request of candidate NO Not Eligible: Candidate applied to participate but did not meet the eligibility criteria. REFEREE ASSESSMENT FORM PROCESS 25 July • CLOSING DATE TO NOMINATE REFEREES • CLOSING DATE FOR REFEREES TO COMPLETE 27 July REFEREE ASSESSMENT FORM The PMCV has a centralised referee collection and distribution process. All health services participating in the Haematology Advanced Training Matching Service have agreed to use a standardised Referee Assessment Form. In 2018, all candidates must ensure that THREE (3) of the standardised Haematology Advanced Training Match - Referee Assessment Forms are submitted to the PMCV Matching Service. Process Overview 1. Candidates nominate referees via their account on the matching website (Referee Support area). 2. The referee automatically receives an email with a link to a unique URL. 3. The referee completes and submits the form. 4. The Health Services you have nominated a preference for will have access to completed referee reports from the Matching website from Saturday 28 July 2018. IMPORTANT: You CANNOT nominate more than THREE (3) referees so please give careful consideration to your choice of referees PMCV DOES NOT chase up referees to complete the Referee Assessment Form, it is your responsibility to ensure your nominated referees complete the form. Some emails can be lost to spam filters etc. Once you have nominated a referee online check with them directly to ensure they have received the email. PMCV can re-send referee email request (please email computermatching@pmcv.com.au if you would like a Referee Assessment Form email request to be re-sent). Referee Assessment Forms should be from: For new applicants to Haematology Advanced Training, at least one of the three referee reports should be from a current supervisor. One referee report must be from a Nurse, Allied Health Practitioner or Senior Scientist. For existing Haematology Advanced trainees, the most recent supervisor report should be provided in addition to the three referee reports. One referee report must be from a Nurse, Allied Health Practitioner or Senior Scientist. Supervisor reports will be reviewed in the process. The Supervisor’s report is confidential and will not distributed to Health Services. The Network Coordinator or the Interview Panel Chair may refer to the Supervisor's Report when assessing an applicant's further training requirements. 14 | Page PMCV - Haematology Advanced Training Match Candidates Guide 2018
Where to get more information/advice on who to nominate as referee If you are still unsure about who to use as a referee in the Haematology Advanced Training Match please contact the Project Administrator isabelles@rcpa.edu.au. Information needed when nominating referees includes:- Referee's title Full name Phone number Current email address Position Held Health Service where Referee is currently employed How to tell if nominated referees have completed the form Once the Referee submits the online form, both the Candidate and Referee automatically receive an email to indicate the form has been successfully submitted. If you were not aware that you had been nominated as a Referee for this Candidate, or have any concerns in regard to completing the Referee Assessment Form, contact PMCV. PMCV collects the information contained in this form for the purposes of conducting the Computer Match. It will not use the information for any other purpose. This form is confidential; however, it will be available to the appropriate Hospital Committees considering the appointment of the candidate. It may also be accessed by the candidate under the Privacy Act 1988 (Cth) and the Australian Privacy Principles. UPLOADING YOUR CV ONLINE As part of the Haematology Advanced Training Match all candidates are required to submit a completed Standardised Haematology Advanced Training CV via the Computer Matching website. The CV can be uploaded into the system as either a Microsoft Word document or Adobe Acrobat PDF and can be up to 2 MB in size. Only use ordinary letters and/or numbers in naming your CV file The standardised CV template can be on the Matching website. You can log in to the system at any time after the match open date (18 June 2018) to submit your CV. Choose the appropriate template for your CV 1. New Applicant 2. Existing Haematology Advanced Trainee To upload your CV: Log in your Computer Matching account using your username and password. Click on “CV Upload” from the left hand menu. To attach the CV enter the complete path and filename of the file to upload, or use the 'Browse' button to navigate to the file on your system. After you have entered the path and filename, press the “Upload CV” button. Once this step is complete your CV can only be changed by re-uploading an amended version. Only one copy is kept on the system. Your CV does not need to be uploaded at the time of ranking health services on your CPL. It can be attached at any time up until the closing date Wednesday 25th July 2018. After the CPL submission closing date (between 28th July to 29th August), all health services listed on your Candidate Preference List (CPL) will have access to both your electronic CV and your three completed online Referee Assessment Forms. APPLICATIONS TO HEALTH SERVICES As well as submitting your Candidate Preference List (CPL) via the Computer Matching website, you may also be required to make an application directly to health services you have nominated on your CPL. THE HEALTH SERVICE SELECTION PROCESS Between 28th July – 29th August: Health Services: Should have received your direct application via their websites (if applicable, see Health Services Directory) Login to the Matching Website to access: o List of all candidates who have nominated them as a preference (Please note: Health Services DO NOT have access to your preferences – Candidate preferences are CONFIDENTIAL!) o Referee Assessment Reports o CV’s Health services will be conducting interviews. You will be contacted directly by Health Services if you are required to attend an interview at their institution. THE HEALTH SERVICE NOMINATION FORM (HNF) Between 30th August – 31st August: After the closing date for change of preferences/withdrawals (29th August 2018) approved Health Service Admin users login to the PMCV Computer Matching Website and submit their Health Service Nomination Form (HNF). The Health Service Nomination Form is a list of candidates in rank order. Candidates are ranked based on merit. NOTIFICATION OF RESULTS Candidates who participated in the Haematology Advanced Training Computer Matching Service can find out the results of the match via the Computer Matching website from 10am, Monday 10 September 2018. You need to: Login in to your account Click the “Match Results” Link from the menu bar to the left of the screen. FOR MATCHED CANDIDATES: Haematology Advanced Training Registrar Match Results: MATCHED CANDIDATES: If you have been successfully matched to a health service you will be presented with a screen showing which health service you have been matched to. This health service will then contact you regarding an employment contract etc. Please confirm your acceptance of the position with the RCPA Project Administrator, Isabelle Sawtell isabelles@rcpa.edu.au by 5.00pm on Wednesday 12 September. Failure to respond will be considered a decline. Letters of appointment are made to successful applicants by the relevant institution. Applicants who do not wish to accept an offer will be removed from the ranking and no further offers will be made. FOR UNMATCHED CANDIDATES: Haematology Advanced Training Registrar Match Results: UNMATCHED CANDIDATES: You will be presented with a screen advising that you were not matched. HAEMATOLOGY ADVANCED TRAINING MATCH APPLICATION CHECKLIST Read the eligibility criteria section - ensure you meet the criteria prior to registering for the Match. Registered for a username and password at http://www.computermatching.pmcv.com.au . Selected an Application Category. Checked the application requirements for each health service you are interested in (see Health Services Directory). Lodged an application with each health service listed on your Candidate Preference List (CPL) if Alfred, Monash or Royal Children’s Hospital (see Health Services Directory). Health Service Applications close – 27th July 2018. Logged in to your PMCV account and completed your CPL by 27th July 2018. Read the code of conduct and privacy statement of the Matching Service in the “About Computer Matching” area of the website. Made sure your CPL has been approved (i.e. status is “CPL Approved”) and uploaded your CV before 27th July 2018. Followed up any pending referee reports. Referee Assessment Forms must be submitted by 27th July 2018 – NO EXTENSIONS. If you decide to withdraw from the Match then ensure you have logged into the website and withdrawn by 29th August 2018. For candidates who have withdrawn from the Match, check that you have received a withdrawal confirmation email and your CPL status is changed to “Withdrawn”.
