CALGARY CORPORATE CHALLENGE Calgary Corporate Challenge is a professionally-run, non-profit events company. We provide fun, engaging team-building events throughout the year, highlighted by the annual Calgary Corporate Challenge September Games! The 2018 Calgary Corporate Challenge September Games will take place from September 7 - 22. EVENT TYPES The CCC events portfolio is broken down into the following five event types: Sports Events ● All events classified as "Sports Events" take place as part of the annual CCC September Games. ● These events are only available to companies who are registered to take part in the Games. ● All "Sports Events" take place after typical work hours and on weekends. ● This event category encompasses all scheduled sports and games that take place in September. Participating in these events allows a participating company to earn points in the Overall Results in the September Games. Charity Events / Charity Challenge ● All events classified as a "Charity Event" take place as part of the annual CCC September Games. ● The term "Charity Event(s)" is used interchangeably with the term "Charity Challenge". ● Many events/opportunities that are offered through the annual Charity Challenge take place leading up to, during, and in some cases, after the September Games. ● These events are only available to companies who are registered to take part in the Games. ● Participating in these events allows a participating company to earn points in the Overall Results in the September Games. Special Events ● All events classified as a "Special Event" take place as part of the annual CCC September Games. ● "Special Events" may take place before, during, and/or after the CCC September Games. ● These events are only available to companies who are registered to take part in the Games. ● Participating in many of these events allows a participating company to earn points in the Overall Results in September. Note: Some "Special Events" are not associated with earning points. Off-Season Events ● All events classified as an “Off-Season Event” take place outside of September. ● You do not have to be associated with a participating company in the September Games to get involved. (These events are open to the public) Community Events ● All events classified as a "Community Event" take place outside of the CCC September Games. ● Community events are hosted by third party vendors or partners of CCC. ● CCC's involvement in community events varies from event to event. 8
COMPANY COORDINATOR INFORMATION
YOUR ROLE AS A COMPANY COORDINATOR Company Coordinators play a crucial role in the success of the CCC September Games, and our team here at CCC would like to thank you in advance for all of the time, hard work and commitment you will put in. Company Coordinator Tasks As a Company Coordinator, you will be the primary organizer and liaison between your company and Calgary Corporate Challenge. Your role will include the following tasks: ● EARLY ORGANIZING EFFORTS ○ HIGH PRIORITY - Completing event-specific sign-up through the CCC online database during the event sign-up period. (May 17 - June 22). ○ Recruiting a committee of fellow employees (an Organizing Committee) to help organize your participation efforts leading up to and throughout the September Games. Depending on the events that you sign up to participate in, your committee may include some or all of the following members: ■ Co-Company Coordinator (we recommend that each company elects 2 or more Company Coordinators to take the lead on all things CCC) ■ Volunteer Coordinator ■ Charity Challenge Coordinator ■ Team Captain for each Sports Event ■ Others as needed (Games Raffle Coordinator, T-Shirt Challenge Coordinator, CEO Challenge Coordinator, Game Board Challenge Coordinator, etc.) ● ONGOING ORGANIZING EFFORTS ○ Receiving and reviewing weekly email updates (CCC’s Coordinator Calendar) from the Games Office and acting as the primary communication link between participants/team captains and CCC on an ongoing basis. ○ HIGH PRIORITY - Updating the online database with any contact changes for Company Coordinators as required. ○ Communicating regularly with your organizing committee and participants. ○ Communicating with your company’s managers to ensure they are aware of your involvement in CCC and of the benefits to your company. Whenever possible, engage top-down support for your CCC initiatives. The most successful companies in the Games tend to have great buy-in from management. ○ Checking the CCC website for new information and updates on a regular basis in the weeks leading up to the Games, and directing your participants/team captains to do the same. ● SEPTEMBER ORGANIZING EFFORTS ○ Ensuring that team captains and participants are aware of CCC’s ID requirements (NO ID = NO PLAY), waiver requirements, event-specific rules, player requirements and what to expect on-site at CCC events. ○ HIGH PRIORITY - Ensuring that your company fulfills its Company Volunteer Requirements during the September Games. ○ Oversee and assist with coordinating efforts throughout the September Games as needed. ○ Be in contact with the CCC Games Office throughout September if you have any questions, concerns or issues. 11
FLOW OF INFORMATION Coordinator Calendar CCC disseminates information to the Company Coordinators who are listed on individual company accounts on the CCC website. It is the responsibility of each company to make sure that this list is kept up-to-date and accurate. You can make changes to this area of the database at any time. Generally speaking, Coordinators will receive one email early each week from CCC. This email is called the “Coordinator Calendar” and it will highlight important information and reminders leading up to the September Games. Note: CCC will not contact Team Captains or participants directly. The “Team Captains” section of the online database is for your internal use only (optional). The flowchart below depicts how information will ideally flow from CCC to Company Coordinators (and onwards). Calgary Corporate Challenge Company Coordinators We recommend you have a minimum of 2 Company Coordinators listed as your primary contacts for CCC. These individuals will receive the Coordinator Calendar early each week and disseminate important info to the organizing committee.. Organizing Committee Many companies find it helpful to have a committee of employees in charge of different CCC initiatives. Event-Specific Team Captain(s) Participants 12
COMPANY COORDINATOR CHECKLIST ❏ Form an Organizing Committee in the Spring and assign roles and responsibilities. ❏ Update the online database (through your company account) every time contact information changes for Company Coordinators. ❏ Review the Charity Challenge opportunities and make your commitments early. ❏ Register for Sports & Special Events and the Charity Challenge on the online database by the June 22 deadline. ❏ Coordinate practices, tryouts or pep rallies to get people excited about the Games (optional). ❏ Order theme-oriented team/company t-shirts (optional). ❏ Keep your company informed about upcoming CCC events, including Off Season and Community Events. ❏ Ensure your Company Volunteers are committed and scheduled for their assignments in September. ADVICE FOR COMPANY COORDINATORS ...from Company Coordinators! The following advice has been provided by other Company Coordinators. ● Start planning now! Get on it EARLY. Don’t underestimate how much organization will be required from your end. The earlier you get people talking about CCC, the easier your life will be come September! ● Participants will have lots of questions and it takes more time than you would think to organize adults! ● There are many deadlines and important dates to keep track of. Be available to support people at your company! Stay positive and have fun with it. ● Engage the higher-ups when it comes to the Charity Challenge. Execs are extremely competitive and love the opportunity to get their departments involved. Top-down influence is very effective for engagement with Charity Events. Giving back is what CCC is all about at the end of the day! ● Assign specific people from your committee to all CCC initiatives (not just sports). If you bring people on board to support with everything from the Charity Challenge to t-shirt designs, your job will be so much easier and everyone will feel that they have had the opportunity to be a part of the process. ● Send calendar invites AND reminders to all participants and CEOs for EVERY event. Reiterate EVERYTHING. ● Other Company Coordinators are active on the CCC Facebook page! This is generally the best place to get in touch with other companies to arrange practices, get contact info for sticker swapping, etc. ● All of your hard work and extra hours spent WILL be worth it. The September Games really are a ton of fun! ● Put on little events throughout the year within the office (i.e. bake sales, silent auctions, ice cream day, jeans day) and use these as fundraising opportunities for the Charity Challenge. ● Get the Executives/CEOs to buy in from the start. Top-down support has undoubtedly been the most important aspect of our success in the September Games each and every year. ● If people at your company have a lot of questions or don’t fully know what to expect, ask the CCC team to come in and host a Lunch and Learn at your office. This allowed our group to ask all of the questions that we had at one time. It also got people excited about the Games! ● Read the weekly Coordinator Calendar! I flag all of these emails and store them in a CCC folder in my inbox for the sake of easy reference when I am looking for specific info. ● Survey people prior to event registration to find out which events will/won’t be popular before committing to putting in a team for each event. Quality over quantity when it comes to participation! ● Share the impact statements and stats from the partnering charities with your co-workers. Oftentimes when people better understand WHY they are being asked to give, they are more likely to get involved. 13
YOUR COMPANY ACCOUNT The CCC online database is the link between your company and the Games Office. Your company account is where you will enter and update all of the contact information for your Company Coordinators, and it’s where your company will register for individual events for the CCC September Games. Be sure to list up-to-date email addresses and phone numbers for all Company Coordinators. To access your company account, follow these steps: 1. Go to the CCC website [www.calgarycorporatechallenge.com] 2. Scroll to the bottom of the home page and click the red “Admin Login” button located on the right hand side. 3. Enter your company-specific username and password. ○ If you do not know your login information, please contact the Games Office. ○ Note: Only the Games Office can make changes to your password. Please contact the Games Office if you do not know your password or if your password needs to be changed. 4. Once you have entered your username and password correctly, you will have access to your company account! It is the responsibility of the Company Coordinator(s) to keep all contact information up-to-date on your company’s section in the online database. Please do not email or phone the Games Office and ask them to update your contact information – just make the necessary updates on your account as changes occur. EVENT-SPECIFIC SIGN-UP Between May 17 and June 22, Company Coordinators must log in to their company account and indicate which events their company will participate in. Simply click yes or no beside each event. Remember: your company will lose points in the Overall Results in September if you cannot field a team for an event that you signed up for during the event sign-up period. You have over a month to decide which events to participate in; use this time to get a sense of the interest and commitment around your office. Use the Tentative Calendar of Events (available online and in this workbook) as a baseline for your planning. ● Event sign-up will become available/go live on the CCC website on May 17 at noon. ● Event sign-up will remain open until June 22 at noon. ● Company Coordinators can make changes to their event selections anytime within this event sign-up period. ○ In other words, you can login to your account, make your selections and revisit these selections multiple times before the deadline. The selections that you have made by June 22 at noon are final. ● Once the event sign-up period closes (on June 22 at noon), no further changes can be made. Requests to make changes (add or remove events) after this time will not be accommodated. 14

Contact CCC directly for an invitation! WHAT’S NEW FOR 2018 Important Dates ● CCC’s 10K Run will be held on Saturday, September 15. (In previous years, this event was held in the first weekend of the September Games.) ● CCC’s Family Day will be held on Sunday, September 16. (In previous years, this event was held in the first weekend of the September Games.) Miscellaneous Changes ● CCC Idol is no longer an event. This event has been replaced by the CCC Halfway Party, which is set to take place on Friday, September 14. Two participation points are associated with attending. ● Scavenger Hunt is no longer an event. This event has been replaced by The Amazing Race, a *new* Sports Event that will run on Family Day at Stampede Park. ○ The charity-oriented component of the Scavenger Hunt has been retained through the Charity Challenge, and all tangible items will be accepted at the Charity Challenge Drop Off on the final day of the September Games. ● Game Boards and CEO Challenge Passports must be picked up at Opening Ceremony or directly from the Games Office by Tuesday, September 11 at noon. No additional pickup opportunities will be offered. ● Company t-shirts that are submitted for the T-Shirt Challenge must be dropped off at the Games Office prior to the first day of the September Games, or on-site at Opening Ceremony. No additional drop-off opportunities will be offered. Sports Events CCC has developed an internal roster of Sports Events that we have the ability to run during the September Games each year. From this roster, we have selected 22 Sports Events to offer in 2018. Note: If you do not see an event listed below as a 2018 event, it does not mean that we have eliminated that event altogether, or that you will not see that event in future years. CCC may bring an event back, bring a new event in, or change any number of events in the Games each year. We base these decisions on feedback received from our participants through our annual survey and the status of our partnerships with local venues. 2018 Sports Events Roster: 10K, Amazing Race, Axe-Throwing, Badminton, Basketball, Bocce, Bowling, Cribbage, Curling, Dodgeball, Foosball, Horseshoes, Laser Tag, Mini Golf, Near-Pong, Obstacle Course Race, Soccer, Spin, Table Tennis, Trivia, Truck Pull and Volleyball Venue Changes: ● Badminton has moved to SmashCity Calgary (formerly held at Repsol Sport Centre). ● Basketball has moved to Repsol Sport Centre (formerly held at Mount Royal University). 23
Charity Challenge Charity Challenge Partners CCC is partnering with 10 local charities/charitable groups (an increase of 3 partners) for the 2018 Charity Challenge. These organizations are listed as follows: ● AARCS (new) ● Heart & Stroke ● Branch Out Foundation (new) ● HomeFront YYC (new) ● Calgary Food Bank ● KidSport Calgary ● Calgary Reads ● Ronald McDonald House ● Canadian Blood Services ● The Mustard Seed Charity Partners - Game Board Challenge CCC’s ten charity partners will be included on the Game Board for the first time this year. Participating companies will be awarded a bonus point in the Overall Results if they obtain all ten of these stickers. Note: A sticker “swap” or “trade” is not required for charity stickers. The charity partners will not be asking for a company sticker in exchange for giving you their charity sticker. Charity Challenge Points CCC has made changes to the points structure for the 2018 Charity Challenge. ● Companies will be awarded points based on meeting specific thresholds instead of being awarded points based on where they finish by comparison to other companies (as was the case in 2017). This point structure will mimic a similar format to the CEO Challenge and the Game Board Challenge, ensuring that all companies are fairly awarded for the efforts they put forth in the Charity Challenge. ● All companies will be able to clearly see how many points can be earned in the Overall Results by completing specific charity initiatives in the Charity Challenge and set their goals for the year accordingly. ● CEOs (those participating in the CEO Challenge) do not need to attend the Charity Challenge Drop Off (formerly Scavenger Hunt). Charity Challenge Tangible Donations Tangible donations to all charities, including gift certificates, will only be accepted at the Charity Challenge Drop Off. (In previous years, some tangible donations were accepted at Family Day.) 24
2018 THEME Not only did the Olympic Winter Games take place this year (and Canada did SO well!), but 2018 also marks the 30-year anniversary of the Calgary ‘88 Olympics! We decided it was only fitting to celebrate our city’s iconic year through our annual theme for the September Games! The CCC 2018 theme is... “Our Year, Your Podium” 25
COMPANY VOLUNTEER REQUIREMENT As a mandatory requirement of participating in the CCC September Games, each participating company must provide a certain number of volunteers to complete one volunteer shift, as assigned by CCC. Volunteer assignments are generated by the Games Office and are sent out to all companies in mid-August. Over 1,100 Company Volunteers give their time each September to help with tasks such as registration, results, race marshalling, etc., and their help is vital to the success of the Games! Volunteer Assignments The maximum number of volunteers that your company must provide is based on your division placement. ● Purple Division - 6 Volunteers ● Blue Division - 4 Volunteers ● Green Division - 6 Volunteers ● White Division - 10 Volunteers ● Red Division - 12 Volunteers ● Orange Division - 16 Volunteers Note: This is the maximum number of volunteers that your company may be asked to provide. The volunteer assignment issued via email in mid-August will indicate the exact number of people needed, and you may not be asked to provide the full amount. Note: The Games Office does not accept requests for particular volunteer assignments or preferred dates. IMPORTANT: Friends and family can volunteer on behalf of your company to help you fulfill your company volunteer requirement. Volunteers must be over the age of 18. Volunteer No-Shows Company Volunteers are integral to keeping participants safe at venues and ensuring that events take place as scheduled. Please make sure that your volunteers are in place for their assigned duties. Companies that do not fulfill their volunteer requirements (including not having the required number of people) will have 20 points deducted from their overall total and will likely forfeit their spot in the following CCC September Games. Note: Visit the “Company Volunteer” area of the Calgary Corporate Challenge website for complete details on the Company Volunteer program and volunteer job descriptions. 26

SPORTS EVENTS INFO ● This event category encompasses all scheduled sports and games that take place in September. Although many events are more game-like than sport-like, this event category is primarily referred to as “Sports Events”. ● All events classified as Sports Events take place as part of the annual September Games. ● These events are only available to companies who have registered to take part in the September Games. ● All Sports Events take place during the September Games, after typical work hours and on weekends. ● Participating in these events allows a participating company to earn points toward the Overall Results in the September Games. ● CCC will run the following 22 Sports Events in the 2018 September Games: 10K Run * Laser Tag * Amazing Race * Mini Golf Axe-Throwing * Near Pong Badminton Obstacle Course Basketball Race Bocce * Soccer Bowling Spin * Cribbage Table Tennis Curling Trivia * Dodgeball Truck Pull * Foosball * Volleyball * Horseshoes * ● All 22 events are available to participating companies in the Orange, Red, White, Green and Blue Divisions. ● Only those events marked by * are available to the Purple Division (first-year companies). ● To learn more about the format, rules and expectations associated with each Sports Event, visit the division-specific section of the CCC website and select events individually. 29
INFO FOR TEAM CAPTAINS & PARTICIPANTS It is important to delegate responsibilities and have one person in charge of your team for each event. The Team Captain’s role is to oversee the members of his/her team and to make sure players are aware of all the details pertaining to their specific event(s). ● Work with the Company Coordinator(s) to recruit a team (and alternates) for your event. This could mean circulating signup sheets and asking people if they would like to play in your captained event(s). ● Determine your team based on the selection process established by your Organizing Committee and have a team meeting. ● Read and understand the minimum and maximum number of players, gender requirements and rules for your event. These will be listed on the CCC website. ● Read and understand the rules for your event and make sure everyone on your team is aware of CCC-specific rules. ● Book venues for practices, playoffs or tryouts (optional - check the CCC website for details). ● Receive event update emails from your Company Coordinator(s) and pass along the information to everyone on your team. ● Email the CCC Games Office if you have questions. ● Go to the CCC Facebook page and use other forms of social media to arrange games and practices with other Company Coordinators and Team Captains (optional). ● Check the CCC website for detailed schedules in the last week of July. ● Keep all team members informed of schedules, locations, rules, etc. ● Ensure that everyone on your team is aware of the NO ID = NO PLAY policy. ● Review on-site registration and game day procedures. ● Make sure you know the location of your venue and the types of facilities on-site. Encourage team members to bring a water bottle and a snack if you are playing right after work. ● Ensure your teammates are on time and ready to play. Game time is forfeit time. ● Ensure that your team members have filled out the online Participation Waiver Form before arriving at the venue. ● Have any team members who have not submitted the online form fill out a waiver on-site and provide valid Personal ID and Company ID. ● Check to see if your team has advanced to the playoffs and keep your team informed. It is your responsibility to know if your team has advanced and when they are playing. CCC will not contact playoff teams. ● Submit extra medal requests online if needed. The extra medal request form will be available on the CCC website. ● Arrange to pick up extra medals from the CCC Office after the September Games. When you register for an event through the CCC website, you have the option to record the Team Captain’s name and contact information for your own records. Information will be sent to the main Company Coordinator, who will then be expected to forward information to the Team Captains. 30

ID & WAIVER REQUIREMENTS Participation in Sports Events is reserved for company employees only. Participants will be asked to prove that they are who they say they are (Personal ID) and that they work for the company they say they work for (Company ID). Participants must complete a waiver before taking part in any CCC Sports Event. NO ID = NO PLAY, NO EXCEPTIONS Digital Waivers & Proof of ID CCC has moved our waiver system and proof of ID to a fully digital system. This means that any individual who completes the digital/online waiver (as provided by CCC), will not need to show ID (personal OR company ID) on-site at events during the September Games. CCC strongly encourages all participants to use this digital waiver system. This system will make all on-site event procedures (check in) much more efficient throughout the September Games. ○ Before the September Games ■ Participants will digitally complete one waiver, one time which will cover their participation in any/all events for the duration of the 2018 CCC September Games. ■ Completion of the digital waiver will serve as both personal AND company ID at all events during the Games. ■ How it works: ● The digital waiver will be emailed directly to Company Coordinators who will then distribute the waiver to team captains and participants within their own company. Each company will only have access to their company-specific waiver (thus serving as company ID). ● When filling out the digital waiver, the user will be prompted to provide government-issued photo ID. The digital system uses facial recognition software to match the user’s face with his/her government issued photo ID as a form of verification (thus serving as personal ID). ○ What to Expect On-Site ■ When an individual arrives on-site at an event in September, that individual will go to the registration desk and provide their last name to the CCC volunteer at the desk. From here, their digital waiver will be pulled up in our system. ● The only information that will be visible to CCC volunteers is the participant’s name, the company they work for, and a photo of the individual. ■ CCC volunteers will be checking that the person registering/checking in at the event matches the photo in the online database, and that person will then be checked in at the event. ■ Note: Although participants do not need to provide ID if they have filled out the online waiver prior to arriving on-site, they do need to check in at the registration area when they arrive. No documentation (ID or otherwise) is required for this check-in process. ○ Safety and Privacy ■ CCC has developed this digital waiver and ID checking system in partnership with Integrity Advocate (online proctoring system), using their highly secure Authorize.tech platform. ■ No personal information is stored or used for purposes outside of the September Games by CCC or by the hosting server. 35
Non-Digital Waivers and ID Checking If an individual does not complete the online waiver, they will be required to show both personal and company ID on-site at every event, on each day of the event, and fill out one paper waiver on-site at every event that they participate in. In these cases, the following ID will be required: 1. Personal photo ID that proves that the individual is who they claim to be Acceptable forms of Personal ID: 1. An employee photo ID (security) card with company name on it 2. Driver’s license 3. Other photo ID (Passport, Costco Card, etc.) AND 2. Company ID that proves that the individual works for the company in question Acceptable forms of Company ID: 1. Business card 2. Company benefits card 3. Company pay stub or photocopy (cross out the pay amount) 3. Corporate credit card card or business card 4. Company HR Letter Assume all forms of ID not listed here will NOT be accepted. Note: The letter submitted to the Games Office at the time of registration in March confirming your employee count DOES NOT constitute an HR letter eligible for use as Company ID during the Games. In order to be used for Company ID, the individual who is checking in must have a printed HR letter that is typed on company letterhead, signed by a member of your HR department, with all employees listed alphabetically by last name and player names highlighted for the individual Sports Event in question. 36
GAME DAY PROCEDURES Before Game Day ❏ Confirm participation with all athletes/participants a minimum of 1 day before each event/game day. ❏ Ensure that all participants have completed the digital waiver. ❏ Arrange/schedule substitutes and alternates as necessary. ❏ Encourage participants to plan to arrive at the event a minimum of 30 minutes before their first scheduled game. ❏ Encourage participants to review the rules and player requirements of the event (available on the CCC website) before game day. ❏ Provide pertinent information to participants as needed (where to park for the event, where your team is scheduled to play, what to wear, what equipment is required, etc.) Game Day ❏ Company check-in and registration starts 30 minutes prior to game time. Arrive a minimum of 30 minutes prior to your first game to allow time to get your team organized for game time. ❏ Have all participants/team members check in at the registration desk when they arrive on-site. ❏ If the individual has filled out their digital waiver, they will check in by providing their last name to the CCC volunteer at the registration desk.. ❏ If the individual has not filled out their digital waiver, they will need to complete a paper waiver and show both personal and company ID at the registration desk. ● NO ID = NO PLAY, NO EXCEPTIONS ○ Remember, a completed digital waiver will serve as both personal AND company ID at every event during the 2018 September Games. ❏ Note: The people at the registration tables are volunteers from other participating companies. If you experience any issues or have questions, please talk to a CCC Primary Volunteer or Games Staff member on-site at the event. ❏ Review the posted schedules at the event and ensure that all participants are at their scheduled court/field/other prior to game time. ❏ Game time is start time. Teams who are not set up to play by game time may default or forfeit the event in question. ❏ Review the updated score sheets/ posted results throughout the event and make sure your team is aware if they are advancing to a playoff round (the playoff round may take place that same night or on a different day) After Game Day ❏ Check the CCC website to see if your team has advanced to the playoff rounds (if applicable). ❏ Review the results that have been uploaded on the CCC website. If you see any discrepancies, contact the Games Office immediately. 37
RULES COMMON TO ALL SPORTS Registration 1. All participants must check in at the registration desk 30 minutes prior to their first game on each day of competition. ● It is most preferable to have all members of a team present to check in together at the registration desk. This streamlines the registration process for all participating companies at all events. 2. All participants must show appropriate ID and consent to participating by filling out a participation waiver (either digitally prior to the event or by filling out a paper waiver on-site) NO ID = NO PLAY, NO EXCEPTIONS A completed digital waiver will serve as both personal and company ID Calgary Corporate Challenge Principles of Fair Play CCC promotes the spirit of fair play in all aspects of our Sports Events, and we will not hesitate to remove a participant/company not following the Principles of Fair Play. CCC reserves the right to disqualify, suspend, remove and/or otherwise sanction any manager, coach, player, spectator, team and/or company that conducts themselves in any manner contrary to the Principles of Fair Play before, during or after an event. Because your team is also representing your company/workplace, all incidents will be reported to the Company Coordinator and Senior Management at your company. Principles of Fair Play 1. Respect the rules. 2. Respect the officials, CCC Staff and volunteers and their decisions. 3. Respect your opponents. 4. Respect your company and represent it well. 5. Maintain your self control at ALL times. Playoffs Teams are responsible for ensuring they know if and when they advance from preliminary rounds to playoff games and for showing up on time for all matches. REMEMBER: Some playoff games will take place the same day/night as preliminary games. Check the CCC website for daily updates and to confirm whether or not your company has advanced. Email the Games Office to confirm your status if you are unsure as to whether or not your team has advanced. Teams are permitted to change their rosters between preliminary games and playoff games. For example, if your team wins its pool on a weekday evening but playoff games do not take place until the weekend, it is fine to have new players from your company play on your behalf for the playoff games. These new additions to your roster are simply “alternates”, qualifying team members who are permitted to switch with other players BETWEEN, but not DURING, games. These terms are defined on the following page. 38
Substitutes & Alternates Substitutes A substitute is a player that joins the field of play during regular play. Substitutes are only allowed in certain events and must have registered with the team prior to game time. Alternates An alternate is a player who replaces another player between scheduled games. Alternates can register at the registration desk between games. Gender Player Requirements CCC strives to create an inclusive environment for all participants, regardless of gender identity or expression. As such, we recognize the right of all participants to participate under their gender identity. If an individual does not wish to disclose their gender, that is that individual’s right. If a participant’s gender is non-binary or non-disclosed, the player requirements for the team in question will not be affected negatively. In other words, CCC respects each participant’s right to disclose or not disclose their gender identity. Although CCC does outline gendered player requirements in the interest of promoting fair play and encouraging equal play opportunities amongst all individuals, an individual’s disclosing of their individual gender is ultimately at their discretion and any non-binary disclosures or non-disclosures of gender identities will not affect a team’s ability to play in the CCC September Games. Protests All protests regarding rules, eligibility and unsportsmanlike conduct must be brought to the attention of the Event Coordinator on-site at the event immediately. The Event Coordinator will address the situation immediately and decide on a course of action. If the rule in question does not appear in this workbook or in the event rules, the decision of the Event Coordinator is final. Formal complaints may also be lodged with the Games Office (by phone or email) within 24 hours of the event in question. Games Staff members are extremely busy during the CCC September Games but will endeavour to respond to complaints as quickly as possible, particularly in instances where the resolution will directly affect upcoming games. 39
DEFAULT/FORFEIT/DISQUALIFICATION RULES Default & Forfeit Rules: 1. Teams are responsible for knowing their game schedule(s), including playoffs and finals schedules. 2. Teams are responsible for knowing minimum event player requirements. If a team fails to meet the minimum event player requirements at the start of any scheduled game, they will be deemed a DEFAULT (-5 points). If deemed safe to play, the scheduled game may still take place, however the DEFAULT status will carry throughout the duration of the event in question. 3. Teams must meet the minimum requirements at the start of each game. Should a team start a game meeting the minimum requirements and during the game fall below those requirements for any reason (including injury), the team will be allowed to finish the current game without DEFAULTING. The team must start each subsequent game with a roster that meets the minimum player requirements in order to play without a DEFAULT status for the duration of the tournament. If the team in question fails to meet the minimum player requirements in subsequent games, they will DEFAULT and this status will carry throughout the duration of the event in question. 4. Teams unable to provide documentation proving identity and employment with an organization (for each participating individual) will be deemed a DEFAULT for the event in question. If all team members have filled out a participation waiver, the scheduled game can still be played, however the DEFAULT status will carry throughout the duration of the event in question. 5. Teams who fail to meet minimum gender requirements (but meet all other team requirements, including minimum event player requirements) will be scored as a DEFAULT and will lose 5 points for the event in question. In cases where individuals have not disclosed their gender or have disclosed their gender identity as non-binary, CCC encourages all participants, volunteers and officials to approach the gendered requirements as a general guideline meant to facilitate fair play and make respectful decisions accordingly. If the player requirements are being overtly disrespected or misinterpreted, please discuss this with a Games Staff member directly. 6. Teams who DEFAULT must still participate in all remaining scheduled games. Failure to do so will result in the penalty moving from DEFAULT to FORFEIT. 7. Teams who have no players show up for a scheduled game/event will be deemed a FORFEIT (-10 points). 8. Should a team that has FORFEITED in its first game show up for its second or third scheduled game, that team will still be considered a FORFEIT but will still be allowed to play (if the opposing team has agreed to remain on-site and is willing to play). The FORFEIT status will be carried over for the entirety of the event. 9. Following a FORFEIT, opposing teams do not have to show up for future games against the FORFEITED team, although they can choose to “play for fun” if both teams agree to do so. 10. Teams who DEFAULT or FORFEIT at an event are still allowed to participate in the event if deemed safe by Event Coordinators, and if they choose to do so; however, they cannot advance beyond preliminary rounds and will receive the associated penalty to their overall score regardless. (DEFAULT or FORFEIT = automatic loss in preliminary rounds) 40
Personal Conduct & Disqualification Rules 1. The coach or team captain is responsible for his/her players and fans, and he/she is expected to control any excessive or unwarranted actions that affect the game in progress. 2. Unsportsmanlike conduct will not be tolerated. Unsportsmanlike behavior will result in the removal of the offending player from the remainder of the tournament and may result in a DISQUALIFICATION for the team. 3. In the case of DISQUALIFICATION, the team being disqualified will be removed from the remainder of sport-specific competition as soon as the DISQUALIFICATION is called. DISQUALIFICATION from an event will result in a 10-point penalty toward a team’s overall score. Teams that are disqualified are unable to advance past the preliminary round/round robin in that particular event. Should the disqualification occur in the team’s 2nd or 3rd game, all previous results will be scored as a FORFEIT. 4. Reasons for DISQUALIFICATION may include any of the following: ● Cheating ● Derogatory statements or abusive language (toward an official, opponent, teammate, volunteer, staff member, etc.) ● Physical violence (toward an official, opponent, teammate, volunteer, staff member, etc.) ● Unnecessarily rough tactics ● Harassing or threatening an official, opponent, teammate, volunteer, staff member, etc. Note: Consequences of disqualification are at the discretion of Games Staff and could include a ban from specific events or the entire CCC September Games. 41
SCORING & RESULTS Scoring Teams will earn participation points in the Overall Results by signing up for and participating in events throughout the September Games. Additional points can be earned by placing in Sports Events, by completing initiatives in the Charity Challenge, or by meeting certain thresholds for points in Special Events. Participation Points All teams will receive 2 participation points for each Sports Event that they register and take part in. Participation in each of the following Special Events will also earn a team 2 participation points: ● Games Raffle ● T-Shirt Challenge - sponsored by Elite Promotional Marketing ● CEO Challenge - sponsored by BDO Canada LLP ● Game Board Challenge - sponsored by Elite Promotional Marketing ● Torch Relay - sponsored by ATCO ● CCC Halfway Party Participation points are awarded based on the events that companies register for in the online database during the event sign-up period. Should you register for an event online and not participate in the event come September, your status will change from 2 (participation points) to -8 (Forfeit which results in a 10-point loss in the Overall Results). Earning Additional Points Points will be awarded for placing in pool play events as follows:Play Events** ● 1st Place - 10 points ● 2nd Place - 8 points ● 3rd Place - 6 points ● 4th Place - 5 points ● 5th Place - 1 point* *In pool play format, multiple teams will end up tied for 5th place in the standings after the single elimination finals. In this case, one point is awarded to each of the teams. Points will be awarded for placing in non-pool play events as follows:Pla ● 1st Place - 10 points ● 2nd Place - 8 points ● 3rd Place - 6 points ● 4th Place - 5 points ● 5th Place - 3 points ● 6th Place - 1 point ** Different scales are used to score the Charity Challenge and all Special Events. The company with the most points earned in their division will win the overall divisional championship for the 2018 CCC September Games. 2nd and 3rd place divisional trophies are also awarded. Ties in the divisional standings (i.e. where teams are tied for the most points overall), will be broken as follows: The team with the most 1st-place finishes, the team with the most 2nd-place finishes and so on. 42
Loss of Points ● Teams that DEFAULT from any of their scheduled events will lose 5 points and teams that FORFEIT will lose 10 points. ○ A DEFAULT will appear as (-3) in the Overall Results, as a company starts with 2 participation points when they sign up for an event. When a company defaults, they lose 5 points. (2 -5 = (-3)) ○ A FORFEIT will appear as (-8) in the Overall Results, as a company starts with 2 participation points when they sign up for an event. When a company forfeits, they lose 10 points. (2 -10 = (-8)) ● Teams who sign up for the CEO Challenge but do not pick up their passport will be treated as a FORFEIT and will lose 10 points in the Overall Results. ● Teams who sign up for the Game Board but do not pick up their Game Board and stickers during the initial days of the September Games will be treated as a FORFEIT and will lose 10 points in the Overall Results. ● Teams who sign up for the Games Raffle but do not pick up, sell and return their tickets by the final Games Raffle deadline will be treated as a FORFEIT and will lose 10 points in the Overall Results. ● Teams who do not show up to their Company Volunteer assignment or do not have the proper number of volunteers will lose 20 points in the Overall Results and may not be asked to return for the next CCC September Games. Results Results are collected each night and updated on the CCC website the following day. The results are input manually in the Games Office every morning and should be available online by noon. Results from weekend play will be posted by Monday at noon. If you see a discrepancy in the results, please contact the Games Office A.S.A.P. directly and we will be happy to look into this and make changes as necessary. Awards and Medals Individual medals are awarded to members of the first, second, and third place team in each Sports Event in each division, based on the recommended number of team members for each event. In most cases, medal presentations occur immediately after the event’s finals. Medals will be awarded to teams who receive a perfect score in the CEO Challenge. Divisional Trophies, Charity Challenge awards and Elite Spirit Awards trophies will all be awarded at Closing Ceremony in the week following the September Games. 43
