Dear Parents, Welcome to the Lanesborough Clubs, Music and Before and After School Care Programme for Trinity Term 2020. As last term, registering for next term’s clubs will be made through the parents’ portal: https://lanesborough.myschoolportal.co.uk/login which will ensure that our data is secure. You will find full instructions for booking clubs on the Parents’ Area of the website. Full instructions are on the website – Really important things to note: • All Trinity Term 2020 clubs have the prefix T20 • When you have logged on, you will see a list of clubs that are available for your son to join – please make your selection by clicking on the ‘join club’ button. If you select the wrong club, click on the ‘leave club’ button to remove this from your selection. • Changes to your club selection can be made at any time during the live booking period (16-23 March 2020) by logging in as above. If you encounter any problems with logging in or choosing clubs during the booking week, please email: clubs@lanesborough.surrey.sch.uk Clubs’ Programme • Clubs for the Trinity term will start on Monday 27 April 2020 and finish on Friday 3 July 2020 • There shall be no clubs running during Activities Week (8 to 12 June 2020) Please note that the following clubs shall not be running in the Trinity 2020 term • Doodle Club • Music Scholars • Maths Club • Warhammer • Junior & Science Club • Samba Group • Junior Strings will not be running as the boys are ready to go up to String Ensemble. • Senior Chamber Choir is only open to the Year 5 boys that have been invited to sing in the opera. • Senior Orchestra is being replaced by Year 6 Production Band (by invitation) Please check club details carefully as some changes have been made to days, times and year groups. clubs@lanesborough.surrey.sch.uk Page 3
Breakfast Club and After School Care We are delighted to continue to offer childcare from 7.30am each morning and until 6.30pm every evening. Unlike clubs, these sessions will run as follows:- Breakfast Club: Tuesday 21 April 2020 – Friday 10 July 2020 After School Care: Tuesday 21 April 2020 – Thursday 9 July 2020 Please book Breakfast Club and After School Care through the online system. You will need to book a session (or multiple sessions) FOR THE WHOLE TERM. If you do not need to use them you will, of course, not be charged. There will be a maximum number of pupils for each session dependent on their age and this service will run on a first come first served basis. Please note this longer day may well not be suitable for the youngest boys. Sessions will run at the following times, please see the main body of the booklet for more information. • 7:30am–8:15am (Nursery–Year 8) • 4:00pm–5:00pm (Pre-Prep only) • 5:25pm–6:30pm (Nursery–Year 8) If your son is in Pre-Prep and staying after 5:00pm, you will need to book the long after school session. Please note that there will be a penalty charge of £50 for any late pick-ups. New System for emergency Breakfast and After School Care: We will be continuing to offer two places in both Breakfast and After School Care for use in an emergency. Places will be released 48 hours in advance and will only be available through the Parent Portal on a first come, first served basis. These sessions will be charged at a different daily rate of: Breakfast Club: £11 ASC Short Session: £14 ASC Long Session: £29 ASC Prep: £17 The Late Room will be available for use on an ad-hoc basis as follows: Pre-Prep Department (Shell to Year 2): 3:20pm-4:00pm Prep Department: 4:00pm-5:25pm To book your son into the Late Room, please make a note in your son’s planner. clubs@lanesborough.surrey.sch.uk Page 4
Clubs Booking System • The online booking form will be available on the parents’ portal area of the school website from midday on Monday 16 March to midday on Monday 23 March. It will be available for the whole of that week and you are welcome to enter, and adjust, your choices during that time. • Clubs for Trinity Term 2020 are prefixed T20 • Should you change your mind or need to make any adjustments during the booking period, please do so by logging back into the parents’ portal and clicking on the ‘leave club’ button. • Do remember that children need time to play with their friends and, as a general rule, we would recommend that you sign them up for no more than 2 lunchtime clubs per week. • Please note a maximum of ONE after school club per day applies. • Children can be tired by 4:00pm, please consider this when signing up for clubs that run after school. • By invitation clubs are not available to book on-line; staff have given me a list of boys they wish to invite to their clubs. If your son has been invited to a club, this has been added to his profile. You do not need to do anything if you are happy with this invitation, but if you would prefer that he does not participate, then you need to select ‘leave club’ and his name will be removed from the list. • You have all week to book your son’s clubs by logging onto the parents’ portal section of the website. Once you have logged on, you will be able to make your selection as detailed above. Please note that your selection is a request for your son’s chosen clubs - places will be confirmed during the holidays, through the parent portal. • There is no first come first served basis, but please be aware that any club requests received after the closing date will only be allocated after requests made during the booking period have been processed, and only if numbers are not already at full capacity. • The website will be organised so that you will only be able to sign up for one club in one slot and for the correct year group. Clubs will be assigned following the booking period. We will do our best to ensure that each boy gets a good proportion of what they requested. Whilst we operate a waiting list system that is carried over from the previous term, which gives boys priority, we cannot guarantee places as all clubs have a limited number of spaces. clubs@lanesborough.surrey.sch.uk Page 5
Requests for MTech are handled directly by MTech staff. I will pass your request to MTech who will do all they can to accommodate you in your chosen session. However, if this is full and there are spaces in other sessions you may be offered an alternative. Confirmation of a place will be made directly from MTech, (and not school) and your final bill will be adjusted accordingly. During the holidays you will receive an email communication detailing which clubs you have been given, your waiting list clubs and the bill associated with those clubs. If there are any queries or mistakes then we will try to deal with them at the very beginning of term. We hope that the roll- over system will enable boys to get a range of clubs and experiences over a period of time, even if, in the short term it is not quite what they wished for. The efficacy of the new system should be judged over several terms and not one. Payment for clubs Payment for clubs is in arrears and you will receive the bill after the end of term with the fees advice. In order to manage the billing process effectively, we will not be able to accept any changes to club bookings after the first week of each term. After this date, all clubs booked and confirmed will be billed. We do keep a record where clubs did not occur due to a coach’s non-attendance or there was a major clash with a school function. The bill is adjusted accordingly. Clashes with school fixtures or trips, child illness, absence or stopping the club as they are not enjoying it will not be refunded. Games Afternoons Please note that the boys have games on the following days and on these days if your son is in a regular team there are likely to be fixtures which may run into afterschool, this is more likely in the Trinity Term when we cannot predict the finish time of cricket matches. Please bear this in mind when selecting your clubs. Year 4 Monday Year 5 Tuesday Year 6 & 8 Wednesday Year 3 Thursday Year 6 and 8 do have games on a Friday but there are minimal fixtures on this day and so an afterschool club for a senior boy then is unlikely to result in any clashes. Clashes with school fixtures will not be refunded clubs@lanesborough.surrey.sch.uk Page 6
Clubs Allocation For certain clubs, although we cannot guarantee it, we will try to ensure that those boys who have participated in a particular club in the past and have progressed well according to the staff, will continue with that club to ensure their learning and development. Such clubs are where boys are progressing towards external grading and competitions (e.g. judo). In other words, it is likely that those boys who have been doing such clubs for the first term will continue with them for the Lent and possibly Trinity terms. We will take the lead from the staff, in the event of a club being oversubscribed, as to which boys should continue for that term from the previous year, but trying to balance giving other boys the opportunity. In the event that a boy was on a waiting list for a club we will make every effort to put those boys into a club. However, it should be noted that, for some clubs, if you are not able to get your club due to it being oversubscribed this does not guarantee that he will be rolled over but we will try to ensure that this is the case. While we know that we cannot please all the people all of the time, we hope that these changes will make the system fairer and lead to less disappointment over time. We feel that the Clubs programme at Lanesborough is one of the most comprehensive and diverse on offer in any prep school and thus provides the boys with huge amounts of fun, learning and enjoyment. However, if there is anything else we could do to improve it then do let us know. Mrs Hutchings - Clubs Coordinator clubs@lanesborough.surrey.sch.uk Page 7
