Welcome Letters To: Sectional Chairmen & Teams Participating in NYSPHSAA Baseball Championships From: Al Roy – NYSPHSAA Baseball Coordinator Date: Spring 2019 Congratulations on your SECTIONAL CHAMPIONSHIP and good luck advancing towards the NYSPHSAA Final Four in Binghamton, New York. Here are some important informational items and responsibilities that you need to be aware of: Communicate with your Section Coordinator. He has provided you with this guide from our NYSPHSAA Tournament co-directors Tim Harkness and Matt Ferraro. Please review all information in this packet carefully and follow all instructions. 1. Your team roster and picture should have already been forwarded to MaxPreps, if you have not already done so, PLEASE SUBMIT A ROSTER AND PHOTO NOW! 2. As soon as your team becomes a Regional Champion (or by 6/10/19, whichever comes first), please call NYSPHSAA Tournament co-director Tim Harkness at 607-725-3220 to confirm your place in the NYSPHSAA Tournament Final Four. He will review basic information about this guide. 3. Please be punctual and adhere to all BP and pregame schedules. Please be aware that in the event of inclement weather the day before the tournament, BP sites may not be available as all efforts will be in preparing the game sites. 4. A schedule listing the game times and playing sites for the NYSPHSAA semifinals and finals are included in this packet. These matchups, times, and game sites are determined by the NYSPHSAA Baseball Committee prior to the tournament and will not be changed unless inclement weather forces the committee to make other arrangements. All participant schools will be notified at the appropriate time of a change in the schedule due to weather. 5. The Section Coordinator is asked to bring with him the monies/vouchers to pay any bills that are the responsibility of the Section. Please discuss with your Section Coordinator your Section’s policies and procedures regarding financial responsibilities. NYSPHSAA does not pay for travel or lodging. To: ALL Regional Champions Qualifying for the FINAL FOUR in the Greater Binghamton Area From: Tim Harkness & Matt Ferraro – Tournament Co-Directors Congratulations! Your team has qualified for the 2019 NYSPHSAA Baseball Championships in the Greater Binghamton, New York area and is one step closer to winning a NYSPHSAA Championship. Please use the following checklist upon receiving this information guide from your sectional chairman. It is crucial that you complete this checklist as soon as you have completely read through this guide. o Contact NYSPHSAA Tournament Co-Director Tim Harkness at (607) 725-3220 to let him know your team has qualified for the 2019 NYSPHSAA Semifinals. o Submit roster and team photo to MaxPreps if you have not already done so (instructions are located in this information packet). o Contact Chrissy Rozek (tournament administrative assistant) at (607) 343-6753 with the total number of players, coaches, school personnel, and bus drivers that will attend the picnic at NYSEG Stadium after your semifinal game is concluded. A ticket to the Binghamton Rumble Ponies game on June 14th is included in the price of the picnic. o Bring multiple copies of an updated player roster with additional players and coaches for media and game site officials. o Select one player from your team for the Sportsmanship Award. Provide this information to both Tim Harkness and the game site chairman as there will be a ceremony recognizing these individual players. o Please have in your possession updated pitching charts if your Regional games were played within the 4 days of rest threshold. Again, Congratulations on qualifying for the 2019 NYSPHSAA Semifinals/Finals. If you have any questions, please ask. We want to make your stay in the Greater Binghamton Area as enjoyable and memorable as possible. 5
Championship Information Championship Dates Friday, June 14 – Saturday, June 15, 2019 Championship Sites Various locations in Binghamton, NY Admission & Ticket Sales Admission is $10 cash at the gate. Tickets are general admission. Bus drivers with proper ID will be admitted to regionals, semifinals and finals free of charge. There are no discounts for senior citizens or students. Children age 5 and under are free. Only NYSPHSAA passes will be honored at the championship site. No Section Lifetime, Service or other passes will be accepted. Regional ticket prices are determined by the host section. Re-entry is permitted with proper identification. Advance Sale $8 online (plus service fee) at www.gofan.co/nysphsaa CP Sportswear – Official NYSPHSAA Merchandiser CP Sportswear, NYSPHSAA Official Merchandiser, will be selling T-shirts, championship programs, and other event specific merchandise throughout the tournament. Use the following link to access Championship merchandise: http://shop.cpsportswearonline.com/default.asp Submitting Team Roster/Photo Section coordinators/schools/coaches must follow the roster submission procedure to ensure their roster appears in the program. This should have been completed at the beginning of the season. However, if not, it needs to be complete at the completion of Section Finals. Rosters should only be submitted via MaxPreps website. Instructions are below: 1. After you sign into maxpreps.com with your email and password, hover over text in the upper right-hand corner that says “hi, Your First Name” to access your admin account. IMPORTANT: you can contact MaxPreps at 800-329-7324x1 or email support@maxpreps.com if you don’t have your “access code” already. 2. Once you go to your team page you can upload your roster by clicking “Roster” in the horizontal menu bar. 3. From the Roster page, you have a few options to update your roster: a. You may “Copy Roster From Last Year” b. To add individual athletes, select “+Athlete” c. You may also email your roster to rosters@maxpreps.com and MaxPreps team will load them in three to five business days. 4. To load your team photo, go back to your team admin homepage by clicking “HOME” in the horizontal menu bar. a. Then click on “Photo” in the “Mascot & Team Photo” section in the lower right-hand section of the admin homepage. b. From there simply click “Choose File” and select the file from your computer, then click “Submit” and you are done! 6

If the photo/roster are not entered into MaxPreps by Thursday, May 30, please email directly to Todd Nelson at tnelson@nysphsaa.org *** Team Hotel For Semifinals: Below are the hotel assignments and contact information. Please contact the hotels ASAP for lodging. When discussing arrangements, please mention that you may need to spend a second night and will provide them all documentation necessary for preparation. It is important you understand all the hotel’s terms and obligations before signing off (examples include: checkout process, 2-night requirement, etc). If semifinals are postponed due to inclement weather, alternate lodging assignments will be communicated with each individual team. Note: If rooms are needed for Thursday night, please notify Tim Harkness in addition to the hotel. If you will not be using your hotel/motel room upon advancement to the NYSPHSAA Finals, please notify Tim Harkness AND the hotel/motel you are assigned to as soon as possible. For Finals: Please have the ATHLETIC DIRECTOR, COACH, or TEAM REPRESENTATIVE of the SEMIFINAL WINNING TEAMS check into the hotel they are assigned to and confirm their rooms IMMEDIATELY AFTER WINNING THE NYSPHSAA SEMIFINAL GAME and advancing to the Finals. Each winning team has ten (10) rooms reserved for their stay in the Greater Binghamton Area. Below are the hotel assignments and contact information. Alternate lodging assignments may be necessary if semifinal games get postponed on Friday. All winning semifinal teams will check into their hotel/motel after they win, then head to NYSEG Stadium for the picnic. Teams that have been eliminated will go to NYSEG Stadium for the picnic and then return to their home Section upon being eliminated. ALL FINALS PARTICIPANTS WILL CHECK OUT OF THEIR HOTEL/MOTEL PRIOR TO LEAVING FOR THEIR CHAMPIONSHIP SITE. 7
Team Supervision We require athletes and coaches to conduct themselves in a sportsmanlike manner consistent with the principles of NYSPHSAA athletic participation. Each individual spending the night in a tournament hotel shall be responsible for any vandalism done to the room, including theft. Coaches are specifically responsible for the conduct of their respective teams throughout the tournament including when their team is not competing and when they are traveling to and from the event. Transportation Transportation expenses at the rate of $1.35 per mile, per grid chart, for competing NYSPHSAA member schools will be paid by NYSPHSAA upon submission of a State Voucher by the participating Section Treasurer, directly to NYSPHSAA, 8 Airport Park Boulevard, Latham, New York 12110, Attn: Assistant Director. ● Regionals: All on-site expenses will be paid by the treasurer of the host section. All profit or loss at this level will be the responsibility of the competing sections. ● Semifinals and finals: All on-site expenses will be paid by NYSPHSAA after submission of approved vouchers. Travel vouchers are available at nysphsaa.org. School Gate Lists/ID Badges ID badges will be provided for participants, coaches and support staff. Twenty-three (23) participants and six (6) team personnel (coaches, statisticians, managers, etc.) will comprise the traveling squad and will be admitted to the tournament site. Bus drivers are provided entrance free to the facility with proper ID. Adults are not permitted to wear athlete badges. If it is determined they are, the badge will be confiscated, and they will be removed from the game site. Each championship team is required to submit a School Gate List (attached) to the NYSPHSAA office two days prior to the championship event. Athletic Directors and school administrators should be listed on the School Gate List. Keep in mind, this list ONLY provides entry into the facility. It does NOT provide field access. Athletic Directors should submit the School Gate List to Kristen Jadin at the NYSPHSAA office by Wednesday, June 12. Individuals listed on the School Gate List must check in at a ticket sales gate for admittance to the tournament. Press Chris Watson, NYSPHSAA Director of Communications, will accept media credential requests at the tournament. The Director of Communications must be satisfied that the request for a credential is made by a bona fide member of the working press (daily/weekly newspaper, broadcast/community television station, and/or broadcast radio station). Bona fide members of the working press must contact Chris (cwatson@nysphsaa.org) prior to Wednesday, June 12 at NOON to assure a credential(s) will be available for them and that seating arrangements can be provided. ALL MEDIA REQUESTS will be reviewed prior to the tournament. Any requests for radio coverage of the state quarterfinals, semifinals or championship game must be handled through the NYSPHSAA office one week prior to the contest. For radio contracts, visit 8
www.nysphsaa.org and click on Media to download a tournament contract. Print and complete the contract and then fax (518-690-0775) or email to Chris Watson, Director of Communications, at cwatson@nysphsaa.org. He will approve all radio requests and forward an approved contract back to you with site information. The radio broadcasting fee is $250 per contest for semifinals and finals. A radio broadcasting agreement must be completed for EACH game. For any questions, contact Chris at 518-690-0771. Broadcasting/Streaming The NFHS Network has exclusive rights to stream NYSPHSAA Regional and Championship events. No other streamed broadcast, including through social media platforms, of a NYSPHSAA Regional and/or Championship event will be permitted without prior permission. Spectrum (Charter Communications) has exclusive rights to televise NYSPHSAA Regional and Championship events. No other televised broadcast of a NYSPHSAA Regional and/or Championship event will be permitted. Schools who wish to have a school photographer or videographer attend a NYSPHSAA Regional or Championships, must contact Chris Watson, NYSPHSAA Director of Communications. Videotaping, for instructional purposes only, by the two schools playing in each contest will be permitted with approval by the NYSPHSAA office. Such permission must be obtained at least three days prior to the contest. Practice Practice areas are available. Please call the tournament director Tim Harkness to make arrangements. Home Team The home team will be determined by a coin flip during the Coaches Meeting 1.5 hours prior to the game. Coach/Team Meeting There will be a brief meeting 1.5 hour prior to your semifinal game. ALL Head Coaches of each semifinal team must attend. Pitching Charts Be sure to have your updated pitching charts if Regional games are played within the 4 days of the rest threshold. Teams who fail to present their form during the post season will be prescribed an appropriate penalty by the NYSPHSAA Executive Director. Awards Finalist and semifinalist plaques and certificates will be awarded to the teams in all five classifications, plus individual medals to members of the champion and finalist teams. Only 23 individual awards are authorized for each team. Each state champion team will also receive 23 champion T-shirts. If you would like to purchase extra champion T-shirts or medals, an order form will be provided. 9
Sportsmanship One student-athlete from each team will be selected (during the semifinals) to receive a Sportsmanship Award and receive a T-shirt. The student-athletes selected have consistently shown positive sportsmanship traits throughout the entire season. The promotion of sportsmanship is a priority for NYSPHSAA. Student-athletes, coaches, and fans are encouraged to give their best and be a great sport! Coaches can provide the name of their Sportsmanship Award winner to Tim Harkness either via email or during the initial phone call. The name can also be provided to the site coordinator during the Coaches’ Meeting 1.5 hours before the schedule game time. 10

Picnic Information Location: NYSEG Stadium – Binghamton Rumble Ponies – AA Affiliate of the NY Mets 211 Henry Street Binghamton, NY 13902 Teams will be directed where to park upon arrival to NYSEG Stadium. Teams will enter the game through the right field gate by the stadium parking lot. Teams will be served under the Southern Tier Brewing Company Party Deck. There will be fireworks that night after the game. Time: The picnic will be set up from 5:00 pm to 9:00 pm for teams to eat and watch the Rumble Ponies vs. Altoona Curve (AA Mets vs. AA Pirates) Price: $15 per player, coach, school official, bus driver, adults, and children This is a family style cookout, all you can eat buffet. Families can purchase tickets at the NYSEG Stadium Box Office.
