UW ASDA: A New Frontier Most Improved Chapter Henry Ford once stated, “Failure is simply the opportunity to begin again, this time more intelligently.” As difficult as it is to admit, UW ASDA was in a state of failure in the middle of 2015. Though led by passionate and talented leaders, our aging system and model of organization was buckling under the weight of its own antiquity. We needed to start over. We needed to pioneer a new movement that would return UW ASDA to the forefront of the student experience at UWSOD. In June of 2015, with a new cycle of leadership led by President Kathie Wang ’18 and Vice President Hakan Gem ’18, a new foundation was laid upon which the future UW ASDA would be built. The excessive number of committees and half-completed projects were cut and distilled into a group called the Core Advancement Team. This group would be responsible for maintaining essential ASDA events and responsibilities while Kathie and Hakan created a new brand, a new logo, and a new leadership structure under which UW ASDA would operate in future years. This complete dismantling and rebuilding had never been done before, and by the time 2016 came around, our chapter was ready to knock down the barriers that previously held us back and explore the full extent to which ASDA could impact our dental student life. We started small, focusing on areas that no other clubs were involved in and built our first committees around Advocacy, Pre-Dental Outreach, and Professional Development. We purposefully and temporarily omitted committees such as Community Service and Social due to the strong presence of other student groups active in these areas. That being said, we still remained active in organizing service and social based events throughout the year. This reorganization allowed our new board to focus intensely on the quality of our events and in the creation of new benefits for our member base. It also aided in the development of our new identity. Our current President, Hakan Gem ’18, created a simple Vision Statement to guide the 2016 UW ASDA leaders in our primary goal: We empower each other to create the best possible student life for our classmates. Following this, a public Mission Statement was created by the entire team at our first ever Leadership Retreat with the goal of communicating our purpose to the student body: We foster a culture of unity, support, and excellence to enhance dental student life at the University of Washington. Coupled with our new logo and website, our crew was prepared with a sharp focus on the future for an historic launch toward the frontier of student organization at UW. Since committing ourselves to our new Vision and Mission Statements, we have not only taken huge strides in improving the operation of our chapter, but also in transforming the culture of student attitudes toward organized dentistry from mild indifference to passionate enthusiasm. This can be seen in the spike of events that ASDA has organized in the past year and the dramatic increase in student participation. Membership has improved from 105 in 2015 to 136 in 2016 – a 30% increase – and we already have 137 signed up for 2017. Pre-Dental Membership nearly doubled from 12 in 2015 to 23 in 2016. We have increased our collaboration with school groups such as the Student Council and Alumni Association as well as local dental groups including the Seattle-King County Dental Society and Washington State Dental Association. Our impact on the dental community has far surpassed any expectation our leaders had, from passing student-led resolutions on licensure reform at the WSDA House of Delegates to collaborating on major school events such as the Vendor Fair and Gala (which have historically been organized by our Student Council exclusively). 2016 was a watershed year in discovering the limitlessness of ASDA’s role in our school and catalyzing a dramatic improvement in student engagement for organized dentistry. We hope you enjoy the tale of our exploration in the following pages and thank you for considering UW ASDA in the 2017 Gold Crown Awards. Membership and Communications ■■ Encourages member involvement and has significant participation from members (including number of attendees or percentage of members in attendance is helpful). —— NEW: Regular board meetings initiated every other week to organize events, check-in with committee chairs, and update one another on various progress reports (finances, membership, etc.). —— New: Committee chairs initiated regular meetings every other week in between board meetings to check in with committee members and organize committee specific promotions, initiatives, and events. ■■ Organizes a successful membership drive to introduce new students to ASDA. —— IMPROVED: Membership Week held from September 19th-23th to promote importance of participation in ASDA and organized dentistry at large. —— IMPROVED: First-year goodie bags handed out before midterm wax-up competency. Goodie-bags included practice teeth for wax-ups, extra wax, nylon, snacks, candy, chewing gum, and Emergen-C packs. —— NEW: “State of the Union” Lunch and Learn with National President, Sohaib Soliman ‘19. —— NEW: New and returning member discount ($10) paid for by UW ASDA for those who registered during Membership Week. —— NEW: Friday night social held at a local bar (Grim’s Provisions and Spirits) with a privately reserved area for ASDA members only called the Butterfly Lounge. ■■ Organizes events with the local and/or state dental society such as Signing Day to help 4th year students transition to the ADA. —— This year, WSDA combined their graduation celebration for the D4’s with signing day. We hosted a happy hour and provided goodie bags to everybody who had filled out the WSDA application. 51 out of 67 graduating students completed the signing day form. ■■ Uses the following communication vehicles: class announcements, bulletin boards, e-mail, website, social media, etc. —— Weekly emails sent by our Secretary, Gurpreet Kaur ‘19, to highlight upcoming ASDA events, lunch and learns, and promotions. —— IMPROVED: Complete website redesign inspired by simplicity and elegance. —— IMPROVED: Increased social media presence via Facebook and Instagram • 36.0% increase in UW ASDA page likes (408 in 2015 to 555 in 2016). • Nearly 5-fold increase in Instagram followers ( 53 in 2015 to 278 in 2016). —— NEW: D1/D2 Bulletin created outside of the pre-clinical lab that displays our event calendar, upcoming event flyers, and ASDA member of the month. ■■ Publishes a chapter newsletter at least three times per school year. —— NEW: Quarterly newsletter “Dawg Bites” launched for the first time. ■■ Successfully implements chapter leadership transitions through use of how-to guides, reports and retreats. —— NEW: Creation of an “internal facing” Vision Statement that is only shared within the board to guide our decision making process: “We empower each other to create the best possible student life for our classmates.” Written on the top of our bi-weekly meeting reports. —— NEW: Creation of an “outward facing” Mission State that is posted on our website, Facebook page, and Dawg Bites Newsletter to communicate our goal as an organization to the rest of the student body: “We foster a culture of unity, support, and excellence to enhance dental student life at the University of Washington.” Written on the bottom of our bi-weekly meeting reports. —— NEW: Very first UW ASDA Leadership Retreat launched. Leaders stayed overnight at the Chapter President, Hakan Gem’s ‘18 home where members bonded making meals (breakfast, lunch, and dinner) together, played lawn games (bocce ball, cornhole), and went boating on the lake. Activities were followed with presentations given by the President and Committee Chairs along with an inspirational video of Jimmy Valvano’s 1993 ESPY Award speech. ■■ Uses ASDA branding (including ASDA signage, banner, and ASDA flyers) and communicates national ASDA initiatives and events to its members. —— NEW: 2.5’ x 8’ banner printed with UW ASDA logo and mantra, “One Team. One Dream.” to be displayed at all events and increase visibility of our organization. —— NEW: President-Elect, Julie Vu ‘19, employed online graphic design platform “Canva” to create attractive visual posters for each event. ■■ Utilizes green and sustainable practices at ASDA events and in communications. —— UW ASDA requests placement of recycling and compost bins from the University of Washington Medical Center for every event and Lunch and Learn that is hosted. —— Concerted effort given to communicate all events, promotions, and announcements via electronic media to decrease waste and print.
Advocacy ■■ Holds legislative lunch-n-learns and other legislative events to inform members of ASDA’s policies on issues such as student debt, barriers to care and mid-level providers. —— UW ASDA hosted multiple legislative events to educate our student body on the relevant issues on ballot this year. —— NEW: A formal 4-part lecture series was created in collaboration with UWSOD administration where students would earn class credit for attending lunch time lectures on topics related to advocacy efforts. Guest lecturers included representatives from the Washington State Dental Association (WSDA), UWSOD Dean Joel Berg, and fellow dental students. ■■ Attends state or national lobby days or organizes state lobby day. —— Worked closely with the Washington State Dental Association to organize student involvement in the state Dental Action Day. 90 student volunteers attended Dental Action Day 2016 (~33% of the student body). —— Collaborated with administration to implement an excused absence policy for students attending Dental Action Day so they could attend without penalty for missing class/clinic. —— NEW: Assigned student leaders to interface with dentists prior to Dental Action Day and nail down speaking roles points for the day of. ■■ Involved with state and/or local dental society. —— Significant ASDA leader involvement in local and state dental societies. • Seattle-King County Dental Society ▫▫ Membership Committee Student Representative Hakan Gem ‘18 ▫▫ New Dentist Committee Student Representative Van-Anh La ‘18 • Washington State Dental Association ▫▫ DENTPAC Student Representative Hakan Gem ‘18 ▫▫ Government Affairs Committee Student Representative Kathie Wang ‘18 ▫▫ New Dentist Think Tank Student Representatives Hakan Gem ‘18 Julie Vu ‘19 Kathie Wang ‘18 ■■ Voting representation in the state dental society House of Delegates and representation on councils. —— Student Representatives for the WSDA House of Delegates • Hakan Gem ‘18 • Kathie Wang ‘18 • Alternates: ▫▫ Julian Nguyen ‘19, ▫▫ Sohaib Soliman ‘17 —— NEW: Introduced a resolution at the 2016 WSDA House of Delegates that advocated for exploration of alternate pathways to licensure in lieu of live patient exams including the OSCE and Portfolio Model. The student-written resolution passed with an overwhelming majority vote by the House of Delegates.
ACTIVITIES ■■ Offers professional or educational programs that encourage interaction between students and faculty, staff, and state/local dental societies. —— IMPROVED: UW ASDA has remained committed to additional educational opportunities not offered by our traditional curriculum. This year our Study Club lineup expanded to include a hands-on implant/CAD-CAM course with the WAGD, an evening discussion on the changing landscape of dental practice in Washington State by founder of Light Dental Studios, Dr. Steve Broughton, an after-school session on Dental Business Practice by Wells Fargo, a Business Bootcamp by Pacific Dental Services, and a two-part Esthetics Course led by our own affiliate faculty Dr. Tar Chee Aw. —— Improved: Wax and Relax: Before their first wax-up competency, UW ASDA organizes a tutoring/social event where 2nd year students teach their little-sibs tips and techniques to successfully complete their wax-ups. This year’s event was improved by our Hawaiian Theme which included leis for all attendees, relaxing Hawaiian music, and yummy Hawaiian barbeque. • Drill and Chill: Similar to our Wax and Relax event, upperclassmen teach 2nd year students the basics of drilling. —— NEW: We added a brand new Professional Development event called PMMA: The Extraordinary Temporary. Handling PMMA is universally regarded as the most challenging technique in the 2nd-year Fixed Pros class. Recognizing this, UW ASDA organized another tutoring/social event in the pre-clinical lab where 3rd year students taught 2nd years all of the intricacies in working with PMMA prior to their first competency. ■■ Develops mentorship programs for members. —— Collaborated with the Washington State Dental Association to host the annual Mentorship Reception. ASDA members are given first priority to be paired with local dentists and specialists as their mentors. This year, the reception was held in the prestigious Touchdown Terrace of Husky Stadium and our President, Hakan Gem ‘18, was among 4 speakers for the night’s main program. —— NEW: Graduating senior, Ani Vulpoi ‘15, created a pre-dental mentorship program called GUIDE (Guiding Undergraduates in Dental Education) during her first year in dental school. Upon graduation, she was looking for a person or organization to continue her program, and UW ASDA felt it was in the best position to take over. In 2016, we absorbed GUIDE under our Pre-Dental Committee and expanded the number of socials, workshops, and big-sib/little-sib pairs to promote pre-dental mentorship and outreach at UW. ■■ Organizes vendor fair and lunch-n-learns frequently. —— IMPROVED: Drastic increase in the number of lunch-n-learns from previous year. 34 total lunch and learns in 2015 improved to 52 total lunch and learns in 2016 (53% increase). —— NEW: Historically, our Student Council has been responsible for organizing our school’s annual vendor fair, but vendor and student attendance along with fundraising from the event had been dwindling for the last 3 years. Student Council sought assistance from our Alumni Association to help program the event and attract vendors. The Alumni Association then contacted to UW ASDA to also help in planning the event. For the first time in our chapter’s history, we were being given the opportunity to shape the vendor fair. With key suggestions such as higher budgeting for catering services and a Halloween Theme to promote student attendance, UW ASDA helped deliver one of the most successful vendor fairs seen in recent years as reported by multiple vendors and UW staff. ■■ Provides social activities. —— IMPROVED: This year, we received sponsorship from Pacific Dental Services to host our annual football tailgate as the Huskies took on the USC Trojans. Despite the rain and wind, we had a record-high turnout with over 30 student attendees and plenty of food and drinks. —— IMPROVED: Our membership appreciation social was held for the first time in the exclusive Butterfly Lounge of Grim’s Provisions and Spirits which is a local bar/lounge in our lively Capitol Hill neighborhood. Again, we saw a record turnout with over 60 ASDA members, and the event was fully funded by our chapter at $1,300. —— NEW: We partnered with the local Morgan Stanley branch to host a Pitch ‘N Putt Golf Social exclusively for ASDA members. The event included a pre-golf, lakeside barbeque with lawn games followed by a free round of golf at a Pitch ‘N Putt course. Members were then gifted an ASDA-logo water bottle and an educational financial pamphlet custom-made for dental students and new dentists. ■■ Organizes events/programs that promote leadership development and professional training. —— NEW: UW ASDA hosted its first ever Business Bootcamp led by Pacific Dental Services. Over 20 students gathered to learn about Leadership, Purpose, & Trust, Landing Your Dream Job, Contract Negotiations, Marketing, Branding, Advertising, & Social Media, Building a High Performing Team, Overhead in the Dental Practice, and Effective Communication for an Exceptional Patient Experience. ■■ Participates in community service or outreach activities. —— Evening volunteer event at the U-District Food Bank as a part of our Wellness Week (see below). —— Participation in the local Oral Cancer Walk - 5K hosted by the Oral Cancer Foundation as part of our Wellness Week (see below). —— NEW: Participation in and student organization of the massive Seattle King County Clinic (SKCC) which provides a four-day free health clinic at the Seattle Center driven by volunteer doctors, staff, and students. Services include free dental, vision, and medical care to underserved and vulnerable populations in the region. This year, SKCC helped serve 4,492 patients. ■■ Conducts health and wellness activities. —— NEW: UW ASDA Wellness Week 2016 had a lineup of events unlike anything that had been done before at our school. • Monday: “Wakeup with ASDA” Breakfast Bar & yoga session led by D2 student Maria Choi ‘19. • Tuesday: “Pursuit of Happiness” Lunch and Learn for mental health & Insanity Workout led by D2 Stephanie Campbell ‘19. • Wednesday: “Chilling with Canines” lunchtime therapy dog session. • Thursday: “Thirst for Knowledge” lunchtime intellectual wellness trivia & evening volunteer event at the local U-District Food Bank. • Friday: Relaxation and support day for the UW football team as they take on Stanford. • Saturday: Oral Cancer Walk - 5K hosted by the Oral Cancer Foundation. —— Our efforts in Wellness Week were recognized by the University of Washington Student Activities Office, and we were awarded UW Registered Student Organization of the Week which included a voucher to host a free bowling event at our Husky Union Building. We plan to use this voucher for a membership appreciation bowling social in 2017. ■■ Organizes and promotes activities that are unique and original. —— NEW: In an effort to increase ASDA’s presence in student life and promote physical activity, we launched an intramural jersey sponsorship program. Every quarter, intramural team captains submit jersey designs for their respective teams that must incorporate the UW ASDA logo. The ASDA board then decides the best overall design and awards that team $150 toward printing their team jerseys. So far we have been proud to sponsor two incredible dental-IM teams: The CurveBalls of Spee for co-ed softball, and Drill-Fill-Kill for co-ed volleyball.
Fundraising ■■ Conducts one or more organized efforts at earning money. —— NEW: Created fundraising package to streamline and present our new fundraising opportunities to potential vendors/companies (Please see at the end of this section). —— NEW: Created a fundraising committee to help brainstorm and execute fundraising ideas and reach out to vendors/donors. —— NEW: Worked in conjunction with other schools (UNLV) to create shared resources of vendors to contact. —— IMPROVED: Increased the number of lunch and learns for fundraising efforts to one lunch and learn per week in the fall quarter. ■■ Efforts at raising money have increased from the previous year or successfully sustained a large budget. —— NEW: Our student council and the University of Washington Alumni Association conjunctly run the annual vendor fair. • This year an opportunity was presented for the first time for ASDA to collaborate and help run vendor fair to raise money for our school • This was a huge move towards creating better relationships with these other organization that support our school because we were never allowed to run vendor fair in the past. • Got great feedback for creativity of the vendor fair (Halloween themed), attendance, and overall attitude and interactions with the students from vendors in attendance as well as the University of Washington Alumni Association. —— IMPROVED: With the new development of the sponsorship package we have increased our net budget of $20,958.28 from last June when we turned over leadership to $21,287.58 over in the past 6 months . —— IMPROVED: We raised $11,536.21 solely through lunch and learns last year (June 2015 to June 2016), since then we have raised $11,800 in just six months (June 2016 to January 2017) due to our new efforts of our fundraising team. —— IMPROVED: received more funding and grants from local dental organizations including the Washington State Dental Association and the Seattle King County Dental Society Organizes fundraisers that are unique and creative. —— NEW: Worked in cooperation vendors to allow them to cosponsor our events. • Held a morning business boot camp where Pacific Dental Services came to our campus and educated our students on business information and had PDS sponsor a post boot camp University of Washington Husky Football game tailgate. ■■ Demonstrates cost-saving measures in chapter events. —— IMPROVED: To host and expand the number of events this year, from January 2016 to June 2016 saved most of the lunch and learn revenue in addition to holding one lunch and learn per week from October to December. • Through conservative spending and saving a majority of our revenues from the previous year, we were able to save enough money to hold more numerous and substantial events and send more members to the District 10 and 11 Leadership Advance Conference, National Leadership Conference, and the District 10 meeting than ever before. Pre-dental students are exposed to a Pre-Admissions Workshop hosted by our Associate Dean for Student Life and Admissions, Dr. Sue Coldwell, lectures on dental topics given by dental students, and multiple laboratory rotations with activities such as drilling, filling, impressions, casting, suturing, waxing, tooth identification, and mock interviews. —— IMPROVED: Recognizing the big pre-dental demand for this event, we added an additional Dive into Dentistry Day session for the winter to complement the existing summer session. ■■ Offers networking, social, community service, and mentorship events for pre-dentals. —— NEW: Mentioned previously, UW ASDA absorbed the pre-dental mentorship program GUIDE (Guiding Undergraduates in Dental Education) and has since expanded its impact. GUIDE pairs UW pre-dental students with a big-sib in the dental program and holds regular socials to promote networking and outreach. —— NEW: In 2015, UW ASDA took inspiration from UCLA ASDA’s Basic Dental Principles course and introduced a dental student led lecture series for pre-dental students. Dental student lecturers were given elective credit for their involvement in teaching and pre-dental students who completed the lecture series were awarded a certificate of completion signed by our Professor and Chair of Operative Dentistry, Dr. Daniel C. Chan. In 2016, ASDA has been working with UW administration to merge this lecture series with an existing undergraduate course taught by dental professors. The merged course will offer lectures from both professors and dental students along with hands-on lab sessions led by ASDA for pre-dental undergraduate students at UW. ■■ Promotes national ASDA Predental Week. —— We ensured that all of our pre-dental contacts were made aware of National Pre-Dental Week by blasting out emails to our undergraduate societies, pre-health advisors, and liaisons. —— NEW: On top of promoting National ASDA’s 3 webinars, Instagram contest, and additional resources, UW ASDA created Helpful E-Handouts which included student written guides such as “How I Studied for the DAT,” “Day in the Life of a First Year Dental Student,” and “What is GUIDE?” In addition, we raffled off four $10 Starbucks gift cards to new and existing pre-dental UW ASDA members at the end of the week.
