• Important Information For All Tour Members • It is hard to believe that the All American Halftime Show™ & Orlando production tour is almost here! Please take the time to review this packet of information VERY carefully before you arrive in Orlando. The key to a successful tour experience is your preparation and thorough knowledge of tour policies and procedures. The All American Halftime Show™ tour is a fast-paced and fun-filled week of activities. We need everyone to be prepared, arrive at events on time and concentrate on your role to ensure a most successful and memorable All American production tour. ALL AMERICAN HALFTIME SHOW PRODUCTION TOUR ITINERARY • ROSEN CENTRE HOTEL DECEMBER 28, 2018 - JANUARY 2, 2019 • ORLANDO, FL Day 1 - Friday, December 28, 2018 • Orlando Arrival Day & Tour Member Orientation• 10:00 a.m.- 5:00 p.m. Complimentary luggage self-storage area available at Rosen Centre Hotel for early arrivals. 4:00 p.m. - 7:30 p.m. Check in at the "All American Welcome Desk" at the Rosen Centre Hotel (9840 International Dr., Orlando, FL, 32819, Tel. - 407-996-9840) Tour Registration and hotel room check-in will begin after 4:00 p.m. Be prepared to tip the bellmen if you use their services (Min. $1.00 per bag). 8:00 p.m. - 9:00 p.m. Official All American Halftime Show Tour Member Welcome & Orientation in “Ballroom C” • Mandatory Attendance For ALL Tour Members. 10:00 p.m. - 10:30 p.m. Performers only must be on their room floor by 10:00 p.m. Lights out at 10:30 p.m. Cast curfew in effect. Must have meal ticket. 7:00 a.m. - 8:00 a.m. Late arrivals pick up registration materials, tickets & costume in the “Signature 1” room behind the All American Halftime Show Info Desk. 8:30 a.m. Board motorcoaches to Walt Disney World! EVERYONE must wear your All American Tour I.D. badge as you board a motorcoach. Everyone MUST Have Walt Disney World Ticket. Lunch and dinner meals on your own. 3:00 p.m. - 8:00 p.m. Motorcoaches shuttle back to the hotel. Last Motor Coach Leaves Walt Disney World at 8:00 p.m! 7:30 p.m. - 9:00 p.m. Costume exchanges in “Signature 1” room behind the All American Halftime Show Information Desk. (Make sure your costume fits!) 10:00 p.m. - 10:30 p.m. Performers only must be on their room floor by 10:00 p.m. Lights out at 10:30 p.m. Cast curfew in effect. Day 3 - Sunday, December 30, 2018 • Universal Orlando & Production Cast Rehearsal• 7:00 a.m. - 8:30 a.m. Breakfast in “Ballroom A”. Wear your All American Tour I.D. badge and red wristband. Must have meal ticket. 8:30 a.m. Board motorcoaches to Universal Orlando! EVERYONE must wear your All American Tour I.D. badge as you board a motorcoach. Everyone MUST Have Universal Orlando Ticket. Lunch and dinner meals on your own. 3:00 p.m. - 5:00 p.m. Motorcoaches shuttle back to the hotel. Last Motor Coach Leaves Universal Orlando at 5:00 p.m! 7:00 p.m. - 9:30 p.m. Performers Only! Closed Set production rehearsal in Grand Ballroom. Wear comfortable rehearsal attire and bring a water bottle. 10:00 p.m. - 10:30 p.m. Performers only must be on their room floor by 10:00 p.m. Lights out at 10:30 p.m. Cast curfew in effect. Day 4 - Monday, December 31, 2018 • All Day Cast Rehearsal / All American Dinner / Island Pool Party• 6:30 a.m. - 7:30 a.m. Performers Only! Breakfast in “Ballroom A”. Wear your All American Tour I.D. badge and red wristband. Must have meal ticket. 7:30 a.m. Cheer, Pom & Dance Only! Board motorcoaches to rehearsal site. All performers must wear your Tour I.D. badge as you board a motorcoach. Wear comfortable rehearsal attire and bring a water bottle, suntan lotion and rain poncho. Closed Set rehearsal. 7:30 a.m. - 12:00 p.m. Flags & Twirlers Only! Production rehearsal at the Rosen Centre Hotel. 7:30 a.m. - 8:30 a.m. Spectator breakfast in Ballroom A. Wear your All American Tour I.D. badge and red wristband. Must have meal ticket. 8:00 a.m. - 12:00 p.m. General meeting and sectional rehearsals at rehearsal site. Closed Set rehearsal. 12:00 p.m. Twirlers, Flags & Spectators Board motorcoaches to rehearsal site. Wear Tour I.D. & red wristband. Lunch provided upon arrival. 12:00 p.m. Cheer, Pom & Dance - Catered lunch at rehearsal site. 12:30 p.m. Twirlers, Flags & Tour Spectators - Catered lunch at rehearsal site. 1:00 p.m. - 3:00 p.m. Full Cast Rehearsal. Open Set rehearsal. (Spectators are welcome to bring cameras, etc.!) 2:30 p.m. Spectators Only! Board spectator motorcoaches returning to the Rosen Centre Hotel. 4:30 p.m. Performers Only! Day 5 - Tuesday, January 1, 2019 • Citrus Bowl Football Game & All American Halftime Show• 7:00 a.m. - 8:00 a.m. Performers Only! Breakfast in “Ballroom A”. Wear I.D. and red wristband. Must have meal ticket. *** Wear Full Costume / Bring Props / Bring Game Ticket *** 8:00 a.m. Performers Only! Board motorcoaches In Full Costume And With Your Props for dress rehearsal and performance. Closed Set Rehearsal. Everyone Boarding A Motor Coach Must Have Your Tour I.D Badge AND Must Have Your Citrus Bowl Football Game ticket!!! 8:00 a.m. - 9:00 a.m. Spectator breakfast in Ballroom A. Wear your All American Tour I.D. badge and red wristband. Must have meal ticket. 9:00 a.m. - 10:30 a.m. Final cast dress rehearsal at Camping World Stadium. Closed Set Rehearsal. Performers Only. Following rehearsal cast members proceed to your Assigned Seat printed on your game ticket. Lunch on your own. 10:30 a.m. Spectators Only! Board motorcoaches for Camping World Stadium. Must Have Your Citrus Bowl Football Game Ticket! Wear I.D. and red wristband. Remember where the motorcoaches park at the stadium. Lunch on your own. Stadium gates open at 11:00 a.m. 1:00 p.m. Citrus Bowl Football Game Kick-Off at Camping World Stadium. ALL participants must be seated in their assigned seats! Approx. 2:30 p.m. ESP Productions Presents The All American Halftime Show! 3:00 p.m. - 5:00 p.m. All Performer & Spectator motorcoaches begin shuttling to the hotel one-half hour after the halftime show until 5:00 p.m. 5:00 p.m. - 8:00 p.m. Enjoy your final evening at the wonderful Rosen Centre Resort! Dinner on your own. 8:00 p.m. - 10:00 p.m. Post-game celebration party/dance in “Ballroom C” (casual attire). Everyone must wear Tour I.D. & red wristband. Have post-game party ticket. Watch your All American Halftime Show halftime performance at 8:30 p.m.! * To save time on departure morning, please go to the hotel front desk tonight and pay for any extra charges you may have billed to your room. All participants sharing a room must go to the hotel front desk to pay any extra room charges at the same time. * If you have pre-purchased airport shuttle service, please contact your shuttle service to confirm your hotel departure time. 10:30 p.m. - 11:00 p.m. Performers only must be on their room floor by 10:30 p.m. Lights out at 11:00 p.m. Cast curfew in effect. Day 6 • Wednesday, January 2, 2019 • Hotel Check-out & Orlando Departure Day• 4:00 a.m. - 11:00 a.m. Check-out of the hotel at the hotel front desk and pay for any charges you may have billed to your room. Must check-out by 11:00 a.m.! 4:00 a.m. - 4:00 p.m. Pre-paid shuttle service to Orlando International Airport. Please contact shuttle service directly to confirm your departure time and plan to depart hotel at least 2 ½ hours prior to your flight. All American Halftime Cast Costume & What To Bring The All American Halftime Show cast member costume is also displayed on the All American cast choreography online training video and can be seen at: All American Cast Costume Page A white headband is provided with your costume. Please bring a hairband to hold your ponytail (if applicable.) Do not wear other colored ribbons, decorative clips or items in your hair. White knee socks are provided. Please do not wear jewelry while in costume. This includes watches, rings, ear rings, nose rings, or other visible piercings. Any visible tattoos or body adornment must be covered while in costume. Parents, Coaches and Directors are encouraged to bring quick-fix supplies for minor costume alterations. All cast members should bring extra safety pins, hair pins and hairbands for use as needed. MAKE UP - Female performers should bring stage/field make-up, including bright red lip stick, base/foundation, blush, and bright yet natural eye make-up. Do not apply sequins, glitter, or any other adornments to your face or hair. Hair must be pulled away from your face. Cast Members Must Bring The Following Items: All Female Performers SHOES - Clean, solid WHITE, low-cut sneakers (like Keds style), tennis/cheer shoes or jazz oxfords. No high tops, large brand logos, stripes, colored laces, etc. SOCKS – White knee socks will be provided. UNDERGARMENTS - (1) A flesh tone bra with clear straps. (2) Full-footed, suntan (or natural flesh color), matte finish tights. (Please do NOT wear pantyhose instead of tights.) PROPS - Twirlers need to bring your own standard baton (you may use white tape on your baton.) All other Poms, Flags, and Flag Poles will be provided. All Male Performers The male performer game day costume features a complimentary styled shirt, vest and full length pants. SHOES - Clean, solid WHITE, low-cut sneakers, tennis shoes or jazz oxfords. No high tops, large brand logos, stripes, colored laces, etc. SOCKS - White knee socks will be provided. UNDERGARMENTS - Please wear white briefs or trunks (no boxer shorts) under your All American cast costume. Orlando Arrival Day Information Tour Member Onsite Registration Your All American Halftime Show tour participant onsite registration (for both Performer & Spectator tour members) takes place at the Rosen Centre Hotel on December 28, 2018 between 4:00 p.m. to 7:30 p.m. Your tour member registration should only take a few minutes to complete. You may visit the onsite registration area ANYTIME between 4:00 p.m. and 7:30 p.m. (Late arriving tour members should see next page.) Each individual participant on the tour must complete the registration process. Every tour member should present a state ID, school issued valid ID or a copy of your tour confirmation e-mail. Each person attending the All American Halftime Show™ production tour is registered as an individual (not part of a group.) Coaches, Directors, and Parents will not be permitted to collect registration materials, complimentary gifts, or costumes for their collective groups. When you complete your All American Tour Member onsite registration you will be given instructions for your Rosen Centre Hotel room check-in. Helpful Hint: The longest lines usually occur between 4:00 p.m. & 5:00 p.m. * Mandatory Tour Orientation For All Tour Members Will Begin At 8:00 p.m. On December 28th * Early Tour Arrival A complimentary luggage self-storage area is provided at the Rosen Centre Hotel 10:00 a.m. - 5:00 p.m. for tour members who arrive early in the day. Any luggage storage is provided strictly at your own risk & liability. There are many leisure amenities available at the Rosen Centre Resort and the Pointe Orlando shopping/dining district is just a couple of blocks away! All American Halftime Show™ tour member onsite registration begins at 4:00 p.m. You may visit the tour member registration at your leisure anytime during the 4:00 p.m. - 7:30 p.m. time window. When you complete your All American Tour Member onsite registration you will be given instructions for your hotel room check-in. Late Tour Arrival If you arrive at the Rosen Centre Hotel on December 28th between 7:30 p.m. and 10:00 p.m. please visit the All American Halftime Show™ Information Desk (in the ballroom foyer area) to complete your tour member registration*. If you arrive at the Rosen Centre Hotel any time after 10:00 p.m. on December 28th please proceed to the hotel front desk to check into your room for the evening. Late arriving tour members must visit the All American Information Desk (in the Rosen Centre Hotel ballroom foyer area) between 7:00 a.m. – 8:00 a.m. on December 29th to complete your tour member registration, receive performance costume, tour meal tickets, theme park tickets, gifts and important tour member information. * *You will not be able to eat tour member breakfast or visit Walt Disney World without first checking in at the All American Information Desk to receive your tour member registration package. Next Day (or Later) Tour Arrival If your initial arrival at the Rosen Centre Hotel in Orlando is delayed until after 9:00 a.m. on December 29th please contact the All American Halftime Show production office to notify us of your situation. The shared-ride airport shuttle service is an economical transportation option. The fare includes all tolls and other surcharges. The cost of the airport shuttle service is a fraction of the cost for many other transportation options. Depending on the time of transfer and destination, guests utilizing the shared ride service may make more than a single stop. Please make sure your shuttle stop is at the Rosen CENTRE Hotel. (There are other nearby “Rosen” named hotels.) Airport transfer reservations should be completed before your Orlando arrival. Driving Directions to Rosen Centre Hotel Important – There are several nearby “Rosen” named hotel properties, we are at the “Rosen Centre Hotel”. 1. From Interstate 4 take Exit 72 to “Beachline Expressway” / S.R. 528 2. From S.R. 528 take Exit 1 (first exit) to “International Drive and SeaWorld” 3. At the bottom of the exit ramp, turn Right onto International Drive 4. The Rosen Centre Hotel is about 1/4 mile forward on the Left, across from the Convention Center. 5. For complimentary self-parking, turn Left on Hawaiian Court (just before hotel) and follow signs to parking. 6. Tell the parking gate attendant you are with “The All American Halftime Show” for complimentary parking. 7. Valet automobile parking at the front porte cochère of the Rosen Centre Hotel is NOT complimentary. Rosen Centre Hotel – All American Tour Headquarters Tour members will be staying at the beautiful Rosen Centre Hotel located next to the Orange County Convention Center on world-famous International Drive. The Rosen Centre Hotel and resort features first- class accommodations, six restaurants, a specialty coffee bar and a 24-hour deli. Don’t miss the spectacular HUGE heated swimming pool and tropical hot tub grottos! The Rosen Centre Hotel is just 12 minutes from Orlando International Airport and is convenient to local dining & shopping via the low-cost I-Drive Trolley service. Hotel Room Check-In You must complete your All American Tour Member onsite registration on December 28th • 4:00 p.m. – 7:30 p.m. BEFORE to checking-in to your sleeping room at the Rosen Centre Resort. When you complete your All American Tour Member onsite registration you will be given instructions for your Rosen Centre Hotel room check-in. Late arriving tour members (ONLY those arriving after 10:00 p.m. on December 28th) should proceed directly to the Rosen Centre Hotel front desk to acquire your hotel room. Hotel Incidental Expense Deposit Your Rosen Centre Hotel room cost and room tax is pre-paid as part of your of you All American Halftime Show™ tour member package. The hotel may ask that you place a charge card on file for any incidental expenses (phone service, room service, extra food & beverage purchases, etc.) that you incur during your stay. All American Halftime Show Tour Member Conduct Policies 1. Each All American Halftime Show™ tour participant is expected to conduct themself in a mature manner regardless of age. 2. The All American Halftime Show™ reserves the right to immediately terminate your All American Halftime Show™ tour participation in the event of gross misconduct by any tour member. 3. Performers are prohibited from using or possessing alcohol; illegal drugs or any controlled substances without a valid prescription. 4. Any All American Halftime Show™ member violating the law will be immediately removed from all further tour participation (including hotel stay or other amenities), sent home at their own expense and subject to any legal prosecution as allowed by law. The All American Halftime Show™ shall immediately relinquish all responsibility if you are detained by law enforcement authorities for any reason. 5. Tour members may not change hotel rooms unless authorized by a senior All American Halftime Show™ staff member. 6. All American Halftime Show™ tour members are not to enter a non-tour member room or allow a non-tour member to enter their room. Female cast members may not enter a room with males and male cast members may not enter a room with females unless they are immediate family members. 7. Nightly curfews for Performers will be strictly enforced even if Performers are attending with a parent or coach/director. Performers are not to leave their room after curfew. Performers must be on their hotel floor by 10:00 p.m. and in their room by 10:30 p.m. (except in the event of an emergency.) (Spectator tour members are not bound by evening curfews.) 8. All American Halftime Show™ tour members must wear their All American I.D. badge and tour identification bracelet at all times. 9. Only officially registered All American Halftime Show™ tour members may participate in scheduled All American Halftime tour participant activities. (i.e. - All meals, parties, buses, shuttles, etc.) 10. Performers must ride All American Tour motorcoaches to all scheduled events. Performers may not take a personal vehicle to any scheduled tour event, even if they are riding with a parent or group chaperone. 11. In the event a Performer wishes to leave the hotel property in a personal vehicle during free time, they must be accompanied by an adult chaperone over twenty-one years of age. This may only occur during free time on the tour itinerary. Performers are required to be in their room by curfew. 12. Performers must always travel in a group. At Walt Disney World you may visit either the Magic Kingdom Park, EPCOT, Disney’s Hollywood Studios, OR Animal Kingdom. All tour participants will be taken to the Walt Disney World main motorcoach terminal from where you will utilize Walt Disney World transportation to the ONE Walt Disney World theme park of your choice for the day. At Universal Orlando you may visit either Universal Studios OR Islands of Adventure theme park. How Much Spending Money Should I Bring? You will need spending money for the meals not provided per the itinerary and for souvenirs or gifts you may want to purchase. Most participants probably bring a minimum of $160 per person for meals and snacks at theme parks, the football game, etc. Please review your production tour itinerary to see meals that are included in your tour member package. Charge cards and traveler’s checks are accepted at most resort and theme park outlets. What Do I Wear to Production Tour Events? Casual attire is suggested for ALL events on the All American Halftime Show™ production tour! Bring comfortable shoes and be prepared for all types of weather with a jacket, sweater, sweatshirt, and raincoat. Performers should dress in layers for rehearsal. At the theme parks you will want comfortable shoes and be prepared for all types of weather with a jacket, sweater and/or sweatshirt. Casual summer-style pool attire is typically perfect the All American Halftime Show™ New Year’s Eve dinner, pool party and post-game video party. Production Week Weather The late December climate in Central Florida is typically mild with mid-70's highs and mid-50's lows, but be prepared for an occasional cold front when temperatures may dip into the low 40's. What If I LOSE My Bowl Game or Theme Park Tickets? You must replace any lost ticket(s) at your own expense. All tickets for production week activities are distributed to all tour participants during All American Halftime Show™ tour registration on your arrival day. Please write your name on all your tickets (and even your larger cash denominations.) There is a security safe in every hotel room to safely store your production week tickets and other personal valuables. Who May Participate in Spectator Tour Member Activities? All American Tour Spectator activities are ONLY available for those participants who are officially registered as All American Tour Spectator tour members. A Tour Spectator is anyone who is an officially registered All American Halftime Show™ tour member but one who is not actually performing in the halftime show. Only officially registered All American Halftime Show™ tour members may participate in Tour Spectator activities. Tour Spectators may attend the production Open Set rehearsal on December 31st between 1:00 p.m. and 3:00 p.m. Transportation & lunch are provided for registered Tour Spectators attending the rehearsal. Tour Spectators and All American Halftime Show™ Performers will be seated together in Camping World Stadium. (Hotel roommates will have seats next to each other.) Helpful Hint: Put your name EVERYTHING! Each year our production All American Help Desk “Lost & Found” area accumulates valuable items that we would love to return to their owners! If you bring a camera, write your contact information on a note pad or computer screen and take a picture of it. Citrus Bowl Game Day – January 1, 2019 The Citrus Bowl football game will be presented on January 1, 2019 at 1:00 p.m. (ET) at Camping World Stadium in Orlando, FL. Cast members will depart the Rosen Centre Resort at 8:00 a.m. for a final dress rehearsal at Camping World Stadium. Spectator tour members will depart the Rosen Centre Resort at 10:30 a.m. to arrive at Camping World Stadium when the public entrance gates open at 11:00 a.m. Both Performers and Spectators MUST sit their assigned seats as shown on your game ticket. All tour member assigned seats at the Citrus Bowl football game will be next your Rosen Centre Hotel roommates. Will The Halftime Show Be On Television? In the past, the All American Halftime Show™ has occasionally received a small amount of air time on ABC-TV. The Citrus Bowl football game will again be carried live on the ABC television network. However, due to network time constraints we can in no way expect any television coverage of the halftime show. What Do Performers Wear Game Day? Dress in your full performance costume until the All American Halftime Show™ performance is completed. You should remove any visible body piercing jewelry and conceal any visible body tattoos for the Citrus Bowl halftime performance. May I Keep My All American Halftime Show™ Performance Costume? YES, your All American Halftime Show™ performance costume is yours to keep! May I Take My Tote Bag, Big Purse or Backpack To The Stadium? IMPORTANT! A complimentary clear side, stadium security-approved tote bag will be provided to each All American Halftime Show tour member for stadium use on game day. Fans will be able to carry the following style and size bag, package or container at stadium plaza areas, stadium gates, or when approaching queue lines of fans awaiting entry into the stadium: • Bags that are clear plastic, vinyl or PVC and do not exceed 12″ x 6″ x 12”. (This will be provided for you.) • One-gallon clear plastic freezer bag (Ziploc bag or similar.) • Small clutch bags, approximately the size of a hand, with or without a handle or strap can be taken into the stadium with one of the clear plastic bags. • An exception will be made for medically necessary items after proper inspection at a gate designated for this purpose. Fans will be able to carry items allowed into the stadium, such as binoculars and smart phones. Prohibited items include, but are not limited to: purses larger than a clutch bag, coolers, briefcases, backpacks, fanny packs, cinch bags, luggage of any kind, computer bags and camera bags or any bag larger than the permissible size. If you are denied entry to the stadium there is no place to store your items. May I (or My Parents) Take A Pro Still Camera or Video Camera to The Citrus Bowl Football Game? Sorry, the Citrus Bowl Football Game, Camping World Stadium and N.C.A.A. rules prohibit unauthorized video photography of any kind. Still cameras must have lens length of less than 3 inches. You may take photos and videos at the “Open Set” production cast rehearsal and most other All American Halftime Show™ production tour events which take place outside of Camping World Stadium. Will A Professional Performance Video and Cast Photographs Be Available? An official overhead All American Halftime Show™ cast photo will be made during the on-field performance at the Citrus Bowl football game in Camping World Stadium on New Year’s Day. A fully-edited professional video DVD of the Citrus Bowl halftime show performance is available to All American Halftime Show™ tour members & families. An order form for the All American Halftime Show™ official photo and the All American Halftime Show™ game day performance video DVD is enclosed in this guide. You may pre-order online, order at the All American tour store during your Orlando visit or mail-in your order form. The All American Halftime Show choreography training videos may be viewed on most any mobile device (phone, pad, etc.), home or laptop computer and even on many smart TV’s or video streaming devices. IMPORTANT - If you plan to repeatedly view your training video on a mobile device, we STRONGLY encourage you to download each of the videos to your device when you are connected to Wi-Fi.
