NON RACE POSITIONS Your implication is important! Respect, Effort and Discipline, Sportsmanship, Transparency and Commitment are all values that we share at Mont-Tremblant Ski Club (MTSC)! Please review a listing of all the Non-Race Positions and a brief description of each of those positions. As a ski club most our need for volunteers is on the hill (during races). Those limited “non race” positions are important for the Club and from past experience, even if those positions offer flexibility, they often amount to many more hours than the required minimum volunteer days/hours of the Club. The description below will indicate the required Alpine Canada official level needed, the credit-days equivalent, the expected hours of that position in past years, the pre-requisite skills and whether the position is reserved or not. Please note a position will be reserved for specific reasons (such as early commitment in the season, the volunteer has the required training or a specific qualification, the position has been assigned for 2 years, etc). A position identified as “Consultant” requires specific professional education/credentials. "Consultant" positions require specific professional training. By their nature and to ensure a certain continuity, these are awarded by the C.A. according to the needs of the Club. If you are interested and qualified in a position for the next season, please contact us at: membership@clubdeskimonttremblant. If more than one person expresses interest, a draw will be held. For the 2019-2020 season, the followings rules apply: • The number of required volunteer days per family has been established at 6 days (with a minimum of 2 days during the week). • ALL “non-race” positions will have a maximum of 6 days-credits in order to fulfill needs during the races and having volunteers at the race (on the snow). • Every family will be required to do at least one race day (even if you have 6 days-credits non-race). 1. Ski Club President Number of positions: 1 Reserved: YES– Named by the Board of Directors Official Level: 1 Volunteering Days- Credit: 6 credits/days Expected Hours: Unlimited- Incalculable Requirements: Prior experience on a Board of Director Tasks: § Member of Board of Director (CA). § Call all the Board of Directors’ meetings. § Execute all decisions that the Board of Directors delegated to the president. § Member of the executive committee of the Mont Tremblant Ski Club (MTSC). § Responsible for all communications between the Board and the Ski Club Coordinator of the MTSC. § Responsible for all the communications between the Board and the Head Coach. § Responsible for all communications and relations with any external organisation (Mont-Tremblant Resort- Mountain, DLS, SQA, Alpine Canada, others). 2. Ski Club Board Members Number of positions: 13 Reserved: YES– elected at the AGA Official Level: 1 Volunteering Days- Credit: 2 credits/days Expected Hours: Numerous Tasks: § Member of the Board of Directors Mont Tremblant Ski Club. § Participation in meetings and involvement in committees. 3. 4. Race Coordinator Number of Positions: 1 Reserved: YES Official Level: 2 or 3 Volunteering Days Credit: 6 credits/days Expected Hours: 2 to 10 hours per week (sometimes more) during the ski season (November to April) and 1-2 hours per week off season. Requirements: Must have prior experience/knowledge of the following alpine ski organisations: Alpine Canada, SQA and DLS regulations. Needs to be knowledgeable about all the tasks, roles and responsibilities of all the race positions at the MTSC, have strong communication skills (French and English) with people inside and outside the ski club, strong logistical and organisational skills, the ability to work flexible hours, as needed to meet the organisation's needs during the ski season and off season. Tasks: § Work closely and under the responsibility of the Ski Club Coordinator. § Work closely with the “Communications (Volunteering – TTSU)” Leader and the “Training” Leader. § Assign and confirm at the beginning of the season all the reserved race position. § Support all the chief positions before and during all the races at Mont-Tremblant (attend all pre-race meetings). § Put in place all the procedure and protocols for all the races at the MTSC to assure uniformity and supervise its updates. § Attend all annual meetings of SQA and DLS in order to keep informed of all modifications. § Member of the race committee. 5. Technical Director during off-mountain races Number of Positions: 2 (variable according to the needs of the DLS) Reserved: YES. Positions assigned by the DLS Race Director according to skills and qualifications. Official Level: 2 Volunteering Days Credit: 1 credits/days Expected Hours Full day of racing (6:00 am to ???) Requirements: Interest to develop to become DE and obtain level 3 official Tasks: § According to the assignments. 6. Volunteer Dryland training (for PARENTS –COACH ONLY) Number of Positions: variable (based on annual needs) Reserved: YES. Only opened to coaches of parents of athletes at the MTSC. Official Level: 2 Volunteering Days Credit: 0.5 credits/days (need to give 2 half days to get 1 credit) Expected Hours: 4 to 5 hours per day during dry land training season (September and October) Requirements: Coach at MTSC Tasks: § Work with the Head coach during dry land training. 7. Consultant - Human Ressources Number of Positions: 1 Reserved: Yes, for season 2019-2020 Volunteering Days Credit: 6 credits/days Expected Hours: 2 to 10 hours per week (sometimes more) during the ski season (October to April) and 1-2 hours per week off season. Requirements: Minimum bachelor's degree in HRM, RI or related field. Experience as an HR generalist and coaching HR managers an asset. Know the different labor laws and their application (CNESST - CSST - Equity and Standards). Also plan: • a minimum of 30 hours per year for developing HR contracts, programs, policies and procedures; • a minimum of 10 hours per work accident file for the management of files if there is a complaint to the CNESST; • a minimum of 25 hours in 2019-2020 for the implementation and administration of the pay equity plan; • An annual minimum of 5 hours for the management of rate CNESST. Tasks: § Support the club management, the head coach and the board of directors in all files of Human Resources and Occupational Safety. § Support the organization in the activities and strategies of human resources, the person must plan, organize, direct, control and evaluate the HR activities. § Establish guides, processes and protocols to support the CSMT develops policies and implements programs and procedures for human resources planning, recruitment, employment contracts, financial management of the CNESST, management of discipline, compensation, pay equity, claims management at CNESST. § Ensure that the organization meets its legal obligations with respect to labor standards, pay equity, workrelated claims, etc. § Train and coach management staff in a continuing training environment on the active files of the Club. § Offer coaching to the Head Coach and the administration on an ongoing basis, according to the evolution of the files related to the management of the human resources. § Write the required documents as part of the management of employee files. § Participate and make recommendations regarding human resources and employment relationships. § Plan human resource needs together with the organization. § Coordinating mandatory in-house HR training activities (early-season meeting of all employees, review of all policies, etc.). § Develop and implement HR policies and procedures. § Review individual employment contracts on an annual basis and ensure that all contracts are complete and signed. § Ensure the proper maintenance of employee files. § Advise and assist the various stakeholders in interpreting and administering staff policies and programs. § See classification and job evaluation. § Manage discipline management and performance appraisal records, in collaboration with the Head Coach. § Ensure that labor laws such as the Pay Equity Act and the Workers' Compensation Act are respected. § Perform the administrative, medical, legal and financial management of the CNESST (SST). § Review the payroll system annually to ensure compliance with labor standards. 8. Consultant – Training, awareness, psychology (Tactical and mental preparation – intimidation) Number of Positions: 1 Reserved: YES. Volunteering Days Credit: 6 credits/days Expected Hours: Depending on the preparation required to meet the needs of the club and the number of presentations to be made to coaches, athletes of different age groups and parents. Requirements: Specialized training in education and psychology Tasks: § Support the club management, the head coach, the RH committee and the board of directors in preventing problematic social situations (behaviour and bullying). § Participate, if necessary, in the resolution of problematic situations. § Work in conjunction with the Head Coach and the Human Resources Consultant. § Do research according to the needs of the club on the psychological development of the athlete, tactical and mental preparation. § Train coaches on prevention and intervention techniques, acceptable and unacceptable behaviour, prevention, help coaches to detect behaviour. § Train children in various age groups on acceptable and unacceptable behaviour. § Train parents on presentations to children in various age groups on acceptable and unacceptable behaviors and prevention. § Advise and intervene in crisis management situations. § Consider the relevance of doing other training on motivation, good individual lifestyle habits, emotion management, relationship management and communication in general. § Participate in the implementation of strategic planning (Mission-Vision-Values). 9. Consultant - Orthopedic Number of Positions: 1 Reserved: YES. Volunteering Days Credit: 6 credits/days Expected Hours: Depending on the needs of the club and the number of club presentations. Requirements: Specialized training in orthopedic medicine Tasks: § Support the club management, the head coach and the board of directors in all orthopedic consultation needs. § Work with the Head Coach § Provide training and presentation on orthopedic topics such as: support for ski boots, injuries prevention and joint complications § Intervention on the training and racing sites and at certain camps. § Facilitate access to orthopedic surgeons of all orthopedic specialties (calls, organization of appointments, referencing, organization of surgery, etc.) § and accompany athletes and coaches during wounds (calls, organization of appointments, referencing, organization of surgery, etc.) § Stay available to all parents for all matters related to discomfort / injury / growth problems related to alpine skiing. 10. Lead - Communications (Constant Contact) Number of Positions: 1 Reserved: YES. (2 years mandate). The position will be open for the 2020-2021 season. Volunteering Days Credit: 6 credits/days Expected Hours: 2-4 hours per week (sometimes more) during the ski season (November to April) and 1-2 hours per week off season. Need to be available 7 days a week and 12 months a year. Requirements: Strong skills and knowledge of the main office systems and communications systems specifically Constant Contact (or great ability to learn the system), fluent in French and English (written and grammar), translation skills, available on short notice, autonomous, patient and organised. Tasks: § Work under the supervision of the Ski Club Coordinator in collaboration with the Communications Committee and the Website Manager. § Receive, from different sources at the MTSC, the information that needs to be communicated to the club members on a weekly basis and sometimes urgently with the Constant Contact system § Translate the information received in both languages. 11. Lead - Communications (Translation) Number of Positions: 1 Reserved: NO. Open (2 years Mandate) Volunteering Days Credit: 6 credits/days Expected Hours: 2 to 10 hours per week during the ski season (November to April) and 1 to 2 hours per week out of season. Requirements: Good knowledge of the main tools of Office and good communications skills. Very good knowledge of French and English (grammar and writing), ability to translate, flexible & available on short notice, autonomous, patient and organized. Need to be organized and respond promptly to follow-ups in a timely manner. Tasks: § Work under the supervision of the Ski Club Coordinator in collaboration with the Communications Committee and the Website Manager. § Collect information from the various CSMT stakeholders, translate, write and disseminate information to communicate to members on a weekly basis and occasionally on an urgent basis. § Translate (French to English and occasionally English to French) various internal and external documents for the ski club, its members and the CA; the information received in both languages. § Work on major translation and writing / communication projects (website, power point presentation, media communication, letter, resolutions, etc.). § Act as contact person to collect and write FAQ content. § Act as a contact person to gather / identify the required modifications to the various communication tools (website, media ...) and write or revise the content as needed. 12. Lead - Communications (Volunteering – TTSU) Number of Positions: 1 Reserved: YES Official Level: 1 Volunteering Days Credit: 6 credits/days Expected Hours: 2 to 10 hours per week during the ski season (November to April) and 1-2 hours per week off season. Additional hours during the registration period and the preparation of the mid season and end of season reports. Requirements: Strong knowledge of all positions and their needs. Strong knowledge of all members and their skills, knowledge and training. High availabilities in the weeks prior to a race or other events. Flexible and available on short notice. Knowledge of the Time to Sign Up System (TTSU) (or abilities to learn the system) and capability to produce reports (Excel and PDF). Strong communication skills, diplomacy, people skills, capacity to be questioned and challenged, autonomous and organised. Tasks: § Work closely and under the responsibility of the Ski Club Coordinator. § Work closely with the Race Coordinator and the Training Leader. § Supervise the registration of each family on TTSU according to the requirements of the Ski Club and ensure the follow up during the ski season. § Attend all pre-race meetings. § Follow up with all head positions before each race and provide them a list of assigned volunteers for the race. § Make sure that any changes, modifications, no show and requests are taken into consideration. § Manage specific requests from all involed related to volunteering. § Monitor, after the event, with head positions and other coordinators that all volunteers were present. § Prepare a report of presence in mid season and at the end of the season. 13. Lead - Training Number of Positions: 1 Reserved: NO. Open (2 years Mandate) Official Level: 2 Volunteering Days Credit: 3 credits/days Expected Hours: Approximately 40 hours during the year. Requirements: Good knowledge of all positions and needs of the club for the races. Good knowledge of all members and their skills. Bilingualism required, good ability to write in French and English for training announcements to all members. Strong organizational skills to do the required follow-ups. Knowledgeable of Alpine Canada, SQA and DLS regulations. Tasks: § Work closely and under the responsibility of the Ski Club Coordinator. § Work closely with the Race Coordinator and the “Communications (Volunteering – TTSU)” Leader. § Evaluate all the training sessions that needs to be organised (Level 1 and Level 2 official, B-Net installation, course maintenance, gate keepers, Race secretariat and Chrono). § Organize training sessions for Level 1 and Level 2 Official as well as the other training required (eg: secretarial work, timekeeping, trackers, etc.) with the choice of dates, coordination with instructors, ordering equipment, logistics room and spotlights, sending invitations, tracking registrations and attendance. 5-6 times a year. § Coordinate training for Level 1 in French and / or English to all members of the ski club with a qualified trainer. § Keep a registry of all Official Levels held by members for the MTSC and SQA. § Follow up on an annual basis with all members who wish to complete their level 2 official and send personalised invitation. § Perform, in collaboration with the Race Coordinator, an annual follow-up of all those in the process of completing their level 3 official and work to get them the best opportunity to complete their level 3 Official and to determine the best assignments in the race. § Develop a succession plan for the races, determine parents who have an interest and the potential in becoming heads during the races for all the positions and organize the required trainings and the shadowing plans. § Contribute, at the beginning of the season, to the discussion for the assignments of heads and assistant-heads for the succession planning. § Be a member of the Volunteer Committee (meets 2 to 4 times a year) in order to improve on a regular and constant basis the needs of the club, update the descriptions and the tasks, the number of days of volunteering-credits in order to be as transparent as possible and equitable to each member-family. 14. Lead - SQA (Ski Alpin Quebec) Draw tickets Number of Positions: 1 Reserved: NO. Open (2 years Mandate, season 19/20 and 20/21) Official Level: 1 Volunteering Days Credit: 6 credits/days Expected Hours: Very variable according to the system of distribution chosen Requirements: Good knowledge of the CSMT members, people skills, fluent in French and in English, organised and very good at managing follow ups. Tasks: § Receive from the Ski Club Coordinator all the SQA tickets. § Develop the best system to distribute to ALL families their SQA tickets. § Distribute to ALL the families their SQA tickets, collect them back when completed, early in season. § Do a follow up to know who has not returned their tickets and communicate with them to get them completed. § Send to SQA on a regular basis all completed tickets. 15. Lead - Club House Cleaning Number of Positions: 1 Reserved: YES (2 years mandate). Position will be reopened for 2020-2021 season. Official Level: 1 Volunteering Days Credit: 6 credits/days Expected Hours: 2-4 hours per week (sometimes more) during the ski season (November to April) and 10 hours pre-season and 10 hours post season Requirements: Be fully committed and engaged to keep the Ski Club House impeccable. Tasks: The role of the Club House Cleaning Leader is to adhere to and facilitate the implementation to the ski club’s objective. § To have a schedule where all the athletes participate in keeping the ski club chalet clean and in good order, thus making the athletes responsible. § The schedule is established per group/coach in order to have all the groups to participate during the season (and during spring camps-school break) once per season. Particular attention is given in order to avoid any conflicts with races. The groups need to follow the instructions given by the Leader. Pre-Season Organization: § Get the race calendar, establish a schedule for each group of athletes-coach (without conflicts), prepare a laminated poster of the schedule and post in the coaches’ room and in the athletes’ room. § Revise the tasks description and instructions to be given to the groups and make any necessary changes. § Prepare a poster for the coaches’ room and the athlete’s room of all the instructions about the cleaning. § Buy all cleaning products at the beginning of the season and during the season (avoid one large purchase to control inventories) or as needed by the club (special events). § Prepare expense report to be presented to the ski club director. § Inspect club vacuum to ensure proper working order. § DO a pre season cleaning of the toilettes, meeting room, coaches’ room, and athlete’s room before the beginning of the athletes-coaches schedule in place. Clean shelves and trophies (polish) in the athlete’s room and of the shelves downstairs and upstairs. Page 9 de 16
During season tasks: § Send a message to all coaches the week prior to their assignment (an answer is needed and a follow up often necessary). § Communicate with the Ski Club Coordinator, make visits on a weekly basis in order to verify all rooms and sometimes need to complete the cleaning. Depending of the season and the schedules, cleaning sometimes needs to be done by the Ski Club Coordinator during the season (1-2 times per season). § Supervise during the season on a weekly basis that: toilets have enough toilet paper, hand paper, tissues, paper cups, soap, air and toilet disinfectant, windex, cleaning papers, Swiffer, gloves, dish soap, garbage bags for all rooms ( to be placed under the bathroom sinks). § Prepare a report of all necessary repairs to be given to the ski club director. End of Season tasks: § Do a year end cleaning, inspect all rooms, and make recommendations if anything is needed (repairs, carpet cleaning or other). § Clean the fridges, and coffee machine in the meeting rooms § Clean the shelves downstairs and in the meeting rooms 16. Lead - Ski Max tickets Ski Max tickets are a source of funding for the MTSC. Each ticket sold generates funds for the MTSC. Number of Positions: 1 Reserved: YES (2 years mandate). Position will be reopened for 2020-2021 season. Official Level: 1 Volunteering Days Credit: 6 credits/days Expected Hours: Intense work in October, November and December but very irregular (short periods of time a many moments). Requirements: Excellent skills and knowledge of office and communication tools specifically Excel and Outlook (or ability to learn these), high availabilities in October and November, autonomous and most importantly be extremely METICULOUS to balance the accounting of the funds to be collected, fluent in French and English (oral and written), patient and aptitudes to deliver great client service. Tasks: § Work closely and under the responsibility of the Ski Club Coordinator. § Manage and sell +- 1500 Ski Max Tickets. § Send to all potential buyers (from a database of +- 400-500 names, buyers from previous years) a communication in order to know if they have an interest in buying tickets for the current ski season. § Order and collect from the Mont-Tremblant station and the Ski Club the required number of Ski Max tickets. § Receive from the buyers the forms with their names, addresses, number of tickets purchased, delivery mode and keep a tracking on Excel. § Manage revenues +- $80,000 (small increments) and do the reconciliation of all the checks received to balance the revenues. § Take pictures of all tickets to be sent to the buyers on an individual basis (for the potential delivery tracking errors) and then send by Express post to each buyer. § Be available for a few mornings at the ski club chalet for the delivery in person to those that did not want to receive by Express Post. § Be extremely available for the coordination of calls and emails on very irregular frequency Page 10 de 16
17. Team Lead – Organization of the kick-off week-end at P’tit Bonheur Weekend at P’tit Bonheur is the Kick-off weekend where are held dryland training session for athletes, Officials Level 1 and Level 2 training sessions for the parents and the Annual General meeting. Number of Positions: 1 Reserved: YES. Position assigned in summer 2019 and will be reopened for 2021-2022 season. Volunteering Days Credit: 5 credits/days Expected Hours: Approximately twenty hours for the organization prior to the weekend. About 4 hours of organization the Friday of the weekend, on-site presence for the duration of the athlete’s stay (i.e. Saturday morning to Sunday in late afternoon). A few hours to review post-mortem with the coaches, the head coach and the C.A. Requirements: Availability at the beginning of September. Strong organizational skills including doing the required follow-ups. Be motivated to spend a weekend managing many children and teenagers. Tasks : § Work closely and under the responsibility of the Ski Club Coordinator. § Organize the weekend schedule working with the head coach. § Be the contact person for the organization with Le P'tit Bonheur (allergies, number of people, organization of activities, etc ...). § Calculate in collaboration with the Ski Club Coordinator the cost and pricing of the weekend. § Prepare the invitation and registration form that will be sent by constant-contact. § Organize management of: groups, rooms, allergies and medication. § Organize the logistics of parent training and the AGM that will be held that weekend. § Be on site all weekend for the general organization, management of medication and allergies, and handle requests and emergencies. § Prepare a post-mortem review with all present coaches and the head coach in order to facilitate the organization for the following year. 18. Co-Leader - Organization of the kick-off week-end at P’tit Bonheur Number of Positions: 1 Reserved: YES. Position assigned in summer 2019 and will be reopened for 2021-2022 season. Volunteering Days Credit: 3 credits/days Expected Hours: About 4 hours of organization on the Friday prior to the weekend, an on-site presence for the duration of the weekend (Saturday morning to Sunday late afternoon) and a few hours to participate in the post-mortem review with coaches. Requirements: Availability at the beginning of September. Strong organizational and logistical skills. Have the patience and willingness to spend a weekend managing many children and teenagers. Have a child at the Club for the next 3 years. Tasks : § Work with the Team Leader of “Organization of the kick-off week-end at P’tit Bonheur”. § Assist with management of group organization, rooms, allergies and medication. § Be on site all weekend for the general organization, management of medication and allergies, and handle requests and emergencies. § Participate in a post-mortem review with all present coaches and the head coach in order to facilitate the organization for the following year. 19. Volunteers – Evening and Overnight supervision for the kick-off weekend at P'tit Bonheur Number of positions: 3 Reserved: YES. Positions assigned in summer 2019 and will be reopened during summer 2020. Volunteer Days: 1-day credit Scheduled hours: Saturday evening to Sunday morning during the P’tit Bonheur weekend. Prerequisites: Available for 2 days in September. Have the patience and willingness to supervise and manage many children and teenagers overnight. Tasks: § Supervise evening activities. § Supervise bedroom floors (section) at bedtime. § Be available at night to help children if required. 20. Volunteers - Training Dryland at P'tit Bonheur (FOR COACH-PARENTS ONLY) Number of Positions: Variable (based on annual needs) Reserved: YES. Only opened to coaches of parents of athletes at the MTSC. Official Level: 2 Volunteering Days Credit: 3 credits/days Expected Hours: 2 full days and one night during the P’tit Bonheur week-end. This will be a new source of revenue for the Club. § Plan the event and its logistics: software, tracking of entries, sales, returns of unsold equipment and payment tracking to parents. § Manage communications along side the Communications Leader. Update the website, Facebook page, and preparation of various communications to members, Station Mont-Tremblant, the media (Tremblant Express) and partners. § Ensure the event runs smoothly. § Manage volunteers efficiently. 22. Requirements: Good knowledge of payment systems and cash management, ability to work in situations under pressure (stress) and ability to organize logistical aspects of the event. Tasks: § Help the organizers during the organisation of the event. § Install the software for equipment log-in, status and payment. § Participate in planning meetings. § Help in the event planning (operations – equipment arrival, labeling, equipment tracking etc,). § Greet guests. § Help clean the room and return it to its original state at the end of the event. § After the event, reconcile and close the payments. § Any other administrative tasks that the Bazaar team leader deems necessary. 24. Tasks: § Organize a wine and cheese evening at the beginning of the season. § Plan the event and its logistics: negotiate the facilities, food and beverage, find sponsors in order to decrease the costs and increase the revenues. § Optimize tickets sales within the Tremblant community (One ticket for one parent, per athlete at the club, will be paid by the club). § Work closely with the “Communications (Constant-Contact)” Leader. § Update the website, Facebook page and prepare communications to members, Station Mont-Tremblant, the media (Tremblant Express) and partners. § Ensure the event runs smoothly. § Manage volunteers efficiently. 27. Requirements: Experience in event organization, negotiation skills, sponsorship research skills, creativity. Tasks: § Organize an event for the children and for the presentation of trophies. § Organize planning meetings: Project design, goals, vision, etc. § Manage the budget of the event. § Organize the logistics of the event: find the location (Capacity, availability, services offered, etc. ...). § Assess the needs according to the event and the room / location selected. (Liquor license, catering, rental furniture, decor, music, entertainment, etc ...). § Request for tenders according to the event (room, catering, music, trophies, decoration, DJ, etc. § Look for sponsors for the event and to provide gifts to the kids. § Organize the award ceremony: file for awards, categories, recipient, etc. Collect names / groups / categories of recipients from coaches.
