Study regulations/formalities This presentation contains the current regulations (PStO) from the year 2019. All students from matriculation 2020 have this version with the exception of BMT, WIW who have a modified PStO version. 8
Exam registration The module handbook regulates subject-specific requirements for some exams, e.g. the passing of vouchers or basic subjects. and the form of exam is specified there Registration at the thoska terminal/card reader: for regular examinations in the curriculum (for course achievements/credits) Written registration at the examination office (e.g.): - for the bachelor thesis - for student research projects (project seminar) - for additional services - on free attempts/grade improvements - for repeated exams (Each exam is registered with the examination board of the respective degree program, the examination office only administers) 9
Exam registration until 20.01.21 ■ The exam dates can be found in the Open Timetables (binding): https://opentimetable.tu-ilmenau.de/ ■ there is only one examination period this semester due to the Covid-19 special regulation, there is only one examination period (08.02.21-31.03.21) (Registration for the examination or mock performance (SL)) (not of the module: BPO-AB § 3) Via the Thoska portal (https://www.tu- ilmenau.de/studierende/studium/studienorganisation/internet-thoska-am-eigenen- pc/): Organization of the exams → Examination registration and deregistration Please print out a confirmation of your registered exams and take it with you to your exams! 10
Exam deregistration BPO-AB § 16 par. 8: "Cancellation is possible up to 4 days before the submission of the first partial service or up to 4 days before the use of the first care appointment, after which only withdrawal (§ 22) is possible " 4 days (including weekend) with thoska system/card reader or at the examination office → therefore, register in case of doubt! 11

Voluntary credit points ■ Subjects not included in the curriculum (e.g. from the consecutive masters program) ■ Every student may participate in every course at TU Ilmenau - as long as it is organisationally possible [might be difficult during the pandemic]. ■ Participation in the exam may not be denied ■ are taken as courses/credits ■ are shown on the university transcript Caution: ■ "open examination procedure" ■ Elective subjects must be completed once they have been taken. 13
TAKING EXAMS
Initial entry deadlines Corona Special Statutes (as of 09.09.20) § 3 Abs 1: "With effect for the summer semester 2020 and the winter semester 2020/2021, the running of deadlines according to section 19, paragraph 2, sentence 1 PStO-AB (repetition deadline) and section 20 PStO-AB (initial entry deadline) shall be suspended. The summer semester 2020 and the winter semester 2020/2021 shall not be counted when determining whether examination achievements have been taken on time within the meaning of section 21, paragraphs 1 and 2 of the PStO-AB (free attempt, grade improvement).“ Standard operation: Only for exams (among others) from the first 4 semesters of the bachelor`s or diploma program ■ Exam deregistration/withdrawal up to 4 days before the examination ■ Failure: Grade 5.0 15
Repetition deadlines Corona Special Statutes (as of 09.09.20) § 3 Abs 1: "With effect for the summer semester 2020 and the winter semester 2020/2021, the running of deadlines pursuant to section 19 (2) sentence 1 PStO-AB (repetition deadline) and section 20 PStO-AB (initial entry deadline) shall be suspended." Normal operation: PStO-AB § 19 par. 1: "Each failed examination (§ 13) may be repeated once. The second repetition of an examination is permitted in six cases in Bachelor's degree programmes and in three cases in Master's degree programmes. PStO-AB § 19 par. 2: "The repetition of an examination performance must be carried out within the following two semesters (repetition period). Exmatriculation or leave of absence does not extend the time limit for repetition. PStO-AB § 19 par. 3: More information on possibly more attempts for second repetitions within the PO-BB. → 2 semesters after the regular deadline! 16
During the exam Mind special events during the exam: ▪ When did the exam start? Did it start on time? Or too early/late? ▪ Were you asked ahead of the exam whether you feel fine to take the exam (health-wise)? ▪ Did the teachers comply to the protective corona measures? ▪ How have exams been handed out? ▪ Did special events/disturbances occur during the exam? Loud noise? Discussions with the teachers? ▪ When did the exam end? Did you get all the time you should have to complete the exam? Was it on time? Too early/late? ▪ How were the exams collected? ▪ … → Draw up a thought log afterwards and let your fellow classmates confirm it → Oral exam: Still, note the beginning and end of your exam and any disturbances right afterwards! 17
Sick note PStO-AB § 19 par. 2: "[...] This does not apply in cases in which the student is not responsible for the omission. […]“ ■ Applies to deadlines and examination registrations ■ Immediate notification in written form to the examination office ■ with medical certificate ■ At the request of the examination committee, also a medical certificate (BPO-AB § 21 par. 2). PStO-AB § 22 par. 1: "The reason must be notified to the examination board immediately and must be made credible. If this is not possible immediately, this must be justified and made up for within a period set by the examination office." without delay = on the same day! 18
„Postponing“ taking exams Postponing an examination within the time limits or with a sick note Caution: "snowball effect": ■ a single snowball can trigger a whole avalanche ■ "deferred" examinations will be added to the regular ones in the next semesters ■ Accumulation of exams ■ Often leads to prolongation of studies 19
Free attempt/Challenge examinations PStO-AB § 21 par. 1: "The PStO-BB may stipulate that an examination which has not been passed for the first time shall be deemed not to have been taken if it has been taken for the first time before or at the semester of study recommended in the PStO-BB (Annex Study Plan) (free attempt)." → failed exams will not be assessed → only if the examination was taken before or during the regular semester PStO-AB § 21 par. 2: "Passed examinations may be repeated once to improve the grade if they were taken for the first time before or at the subject semester recommended in the PStO-BB (Annex Study Plan). “ → grade improvement attempts 20
Free attempt/Challenge examinations ■ Corona Special Statutes (as of 09.09.20) § 3 par. 1 "When determining whether examination achievements have been taken on time within the meaning of § 21 paragraphs 1 and 2 PStO- AB (free attempt, grade improvement), the summer semester 2020 and the winter semester 2020/2021 are not counted." Free attempt/Challenge examinations PStO-AB § 21 par. 1: "The declaration to claim a free attempt must be made irrevocably in writing to the Examinations Office when registering for the renewed examination attempt, but at the latest by the end of the registration period for the first resit examination." → Registration before the first re-examination! Since 2019, the number of free attempts (+ grade improvement attempts): "The total number of free and grade improvement attempts allowed (quota) corresponds to the regular number of semesters (§ 5) of the respective degree programme. Students are free to choose whether and in which composition they claim the quota of free and grade improvement attempts." 22
The second repetition PStO-AB § 19 par. 1: "Each failed examination (§ 13) may be repeated once. BPO-AB § 18 par. 1: "The second repetition of an examination is permitted in six cases in Bachelor's degree programmes and in three cases in Master's degree programmes. The PStO- BB may determine a higher number up to 40 per cent of the examinations in the degree programme. → The third attempt is already a case of hardship, not a regular case (does not have to occur) → Registration in writing at the examination office → In the event of failure, loss of entitlement to examination Bachelor ≡ deregistration from the study program Ref Soz recommendation: Ask us beforehand and also do a consultation with the examiner beforehand 23
Reviewing exams PStO-AB § 18 par. 2: "The evaluation procedure must be completed two weeks after the start of the following semester“. Reviewing of the examination file (BPO-AB § 36 Para. 12 [new!]): ▪ Since July, 2020: you can make a copy of your answers incl. corrections (however, without the task (184/2020) ▪ You can be accompanied by a member of the Student Council or the Department for Social Affairs during the inspection or send an authorized person (don`t forget to inform the person responsible and don`t forget the signed warrant/proxy) 24
SUPPORT
Blackout prevention In case test anxiety sets in: ■ What are you afraid of? From the examiner, from disappointment (from parents, fellow students), from loss, ..? In the run-up: ■ Good preparation, efficient learning techniques, realistic schedule ■ enough food, drink, sleep ■ Mentally go through the exam situation beforehand ■ Mnemonic devices for critical points → Remember what to do in case of emergency (next page) 26
Blackout prevention Help in case of need: Examinations → Let off steam! • if possible: leave the room, move, maybe swear (quietly) • more inconspicuous: move toes and feet under the table → Keep busy and distract! • eat something, copy out a task, sort sheets, open a window • Getting thinking flowing again (e.g. counting, prime numbers, reciting the alphabet) 27
Blackout prevention Help in case of need: Oral examination → drink something! → Ask the examiner to repeat the question! → ask for time to think it over! → Tell the examiner that you have blacked out and ask for a change of subject. • with reference to later taking up of the old question! 28

Disadvantage compensation PStO-AB § 28 par. 1: "If students can credibly demonstrate that they are unable, due to a personal impairment lasting longer than six months as a result of a prolonged or permanent disability or chronic illness, to provide evidence of their existing ability in whole or in part in the prescribed form or time, they shall be granted an individual adjustment of the uniformly applicable study and examination conditions in a way that takes account of the personal impairment (disadvantage compensation) by the competent examination board on application and taking account of the principle of equal opportunities and the specific qualification objective." Double / part-time / distance learning Double degree programme: Matriculation Regulations § 11 Part-time study: e.g. simultaneous employment, special family conditions or health reasons. Matriculation Regulations § 12 Not relevant for students from third countries! Distance learning: BPO-AB § 6 par. 2: "The study programme can be carried out as a distance study programme, insofar as the PO-BB permit this and the respective study regulations provide for a study plan for this. The framework examination and study regulations for distance learning at the university regulate the examination regulations in more detail." Result: Special study plans 33
Recap January 2021: ▪ Give your exams some thought! Do you consider a free attempt/grade improvement or do you have to take a third retake of an exam? Dont hesitate to contact the Department for Social Affairs in case you have any questions and for general counselling in such cases! ▪ Read the PSto-AB and your PStO-BB, … ▪ Exam registration→ Print out your confirmation of all registered exams! ▪ SoSe 2021 re-registration ▪ Mental illness? Contact the appropriate doctors, psychotherapists, psychiatrists or psychosocial counselling from the universities campus family / you may at any time contact the Department for Social Affairs ▪ You suffer from test anxiety? Create a plan for emergencies – possibly contact the psychosocial councelling ▪ Start preparing for your exams on time! February/March 2021: ▪ Continue with studying ▪ Ahead of exams: You can deregister from exams until up to 4 days ahead of the exam ▪ During exams: be focussed, but also alert in the event of disturbances ▪ Afterwards: create a thought log of all important events April 2021: ▪ Review your exams! ▪ Contact us in case of failed exams that might cause trouble or regarding other occuring problems! 34
