INTRODUCTION The University of Queensland (UQ) is recognised by the Australian Sports Commission (ASC) as an Elite Athlete Friendly University (EAFU) where elite student-athlete services are provided by a range of stakeholders. The UQ Sport Academy is responsible for leading this support through its Elite Athlete Program (EAP). This also includes the UQ Sporting Scholarships and UQ Sport Competition Subsidy programs. Dedicated Academy staff work in collaboration with UQ and UQ Sport staff to help student-athletes manage study and their elite sporting pursuits. With a breadth of study choices, flexibility in your learning process, world-class facilities and student-athlete-centred support, we aim to equip you for success now and in the future. 1
BUILDING TOMORROW’S CHAMPIONS 2 | ELITE ATHLETE PROGRAM
ELIGIBILITY To be eligible for Elite Athlete Consideration as well as the UQ Sport Elite Athlete Program, a student must be able to demonstrate a commitment to an ongoing training and competition program, designed to pursue a sporting career at the elite-level. This commitment must be validated through the provision of robust documentation from a Coach or Team Official from your State or National Sporting body detailing: • A thorough history of the student’s participation in the sport; • The current volume of training the student is committed to; • All current selections to major national or international level events and high performance squads; • Contact details of a coach, high performance manager, state or national body that can be contacted to verify this commitment, if required. Documentation must appear on an official letterhead, signed and converted to an non-editable format (e.g. PDF). APPLYING FOR ELITE ATHLETE CONSIDERATION Approved Elite Athlete Consideration, through the UQ Academic Registrar, allows elite student-athletes access to reasonable adjustments throughout the semester in order to manage their pursuits in both academic and sporting excellence. An important resource regarding this status is the Programs and Assessment for Elite Athletes Procedures Policy. The Policy outlines the University’s strategy to enable elite athletes who have competitive sporting commitments (at a National level or higher) an opportunity to maintain their tertiary study. 3
LODGING YOUR APPLICATION You can apply for Elite Athlete Consideration at any time before or during the Semester. New students can apply as soon as they have a UQ Student Number. You will need to submit your application for Elite Athlete Consideration to the Academic Registrar via email at studentadmin@uq.edu.au Be sure to include the correct supporting documentation (as outlined in Eligibility). This will ensure that your application can be assessed correctly and as fast as possible. Please note: approved Elite Athlete Consideration is only valid for the semester for which it has been approved. Students are required to re-apply for Elite Athlete Consideration each subsequent semester of study that it is needed. Example application email: My name is [insert student name] and my UQ student number is [insert student number]. I would like to be considered for Elite Athlete Consideration for my sport of [insert sport] for Semester [1/2], [insert year]. Please find attached a letter from [insert sporting body/coach/ manager] confirming my selection and training and competition commitments in my sport of [insert sport]. Thank you for your support with my application. Kind regards, [Student name] If successful, the Academic Registrar will notify you of the outcome via a letter of confirmation to your student email account. Additionally, a positive service indicator EAC (Elite Athlete Consideration) will be updated on your SI-net profile for the relevant semester. This will also be visible to UQ staff, which is helpful if you need to request additional support during the semester. 4 | ELITE ATHLETE PROGRAM
REQUIREMENTS & RESPONSIBILITIES Elite Athlete Program (EAP) staff are here to assist any student- athletes who secure Elite Athlete Consideration. However, it is important that you firstly take responsibility for managing your own academic and sporting commitments. Organisation and planning is paramount for all elite student-athletes. It is highly recommended that you reach out to the EAP staff at the beginning of each semester to check-in. SPORTING SCHOLARSHIP INDUCTION & SCHOLARSHIP LAUNCH All UQ Sporting Scholarship recipients are required to attend a compulsory induction session held during Orientation Week, as well as a formal UQ Sporting Scholarships launch event early in the year. ELITE ATHLETE INFORMATION SESSIONS All Elite student-athletes are encouraged to attend the Elite Athlete Information Session and other associated Workshops held in Orientation Week. Check your Orientation Week planner for specific details. In addition, EAP staff are available for consultations during this time to discuss any further needs you may have. Contact details for EAP staff can be found at the end of this document. MANAGING YOUR COMMITMENTS Managing university study and sporting commitments can be a challenge if you fail to plan accordingly. At the beginning of each semester, we recommend you review your sporting schedule against the course work you are due to enrol in to prepare for any conflicts. Remember, if you are ever unsure in your ability to manage your university and elite-level sporting commitments, book in for a planning session with an EAP staff member as soon as possible. 5
HAVE YOU GOT WHAT IT TAKES? 6 | ELITE ATHLETE PROGRAM
PLANNING YOUR CLASS TIMETABLE 1. Make a timetable of your training schedule and competitions that you will be attending during the semester. 2. When class timetables become available, work out which classes would best fit around these commitments. 3. Email the Course Coordinator for each of your courses, introduce yourself and request (if possible) early enrolment in your preferred class times. Depending on the course, Coordinators may grant early enrolment for students with Elite Athlete Consideration. Alternatively, you may be advised to first try and enrol during the public enrolment period, and to notify them should you miss your preferred times. 4. If unable to secure early enrolment, make sure you are aware of when class enrolments open (available on the UQ Academic Calendar) and be available to enrol at this time. If you have training or competition commitments at this time and are not available to sign on to classes, advise your Course Coordinators in step 3. 5. As soon as class enrolments open, log on and enrol into your classes according to your timetable. TIP: Consult the UQ Academic Calendar to see key dates relating to teaching and examination periods, and whether they will clash with your sporting commitments. Assessment due dates are mapped out in the Electronic Course Profile. Keep an eye out for when exam timetables are released so that you are able to advise your Course Coordinators of any clashes in advance. In most cases, you can apply for a deferred exam or extensions, if needed. If at any time you feel you are not coping well, or would like to discuss how to better manage your time and approach to study, please make an appointment with one of our EAP Staff. 7
COMMUNICATION WITH STAFF Developing positive relationships with UQ and UQ Sport staff is paramount. Using professional and appropriate language will help mobilise the support when needed. This begins by introducing yourself to the Course Coordinators and tutors at the beginning of each semester, and identifying that you have been approved for Elite Athlete Consideration by the Academic Registrar. This can be done when requesting timetabling support. It is your responsibility as a student-athlete to liaise with your Course Coordinators and other teaching staff about any clashes as soon as they become apparent. Any prospective travel or absences from university should be reported to academic staff as soon as they are known. Athlete requests are more likely to be approved if they are communicated well in advance. If you are uncomfortable reaching out to academic staff independently, you are welcome to include EAP staff in any communications you have. Should you have a negative experience when contacting any UQ Staff, please inform the EAP staff as soon as possible. 8 | ELITE ATHLETE PROGRAM
Example of an introductory email to academic staff: Dear [insert full title of Course Coordinator], My name is [insert name and student number] and I am enrolled in course [insert course code] this semester. I am an elite student-athlete in the sport of [insert sport] and have been approved for Elite Athlete Consideration by the Academic Registrar for this semester. Please find attached confirmation of this for your records. This is as per policy 3.50.07: Programs and Assessment for Elite Athletes. During this semester, I will be [insert details of your training and competition commitments so they understand what you are juggling as an elite student-athlete with study]. I have perused the assessment requirements for this course through the Electronic Course Profile and have compared this to my sporting schedule. At this stage, I foresee no clashes between my elite- level sporting and university commitments. However, in the event my sporting schedule changes, I may request support to manage attendance and assessment tasks. I will follow the processes outlined in my Electronic Course Profile in a timely fashion if needed, and will remain diligent in keeping up with all course work. I am looking forward to commencing [insert course code] and working with you during the semester. Thank you in anticipation of your support. Kinds Regards, [insert name and student number] 9
UPDATING INFORMATION & COMPETITION RESULTS As a student-athlete, it is a requirement to keep EAP staff up-to-date with current information and details of your sporting achievements. This will assist EAP staff in advocating and communicating your elite-level commitments with UQ faculties and schools should you need it. This information can also provide promotional opportunities, and increase the visibility of UQ’s elite student-athlete community. RELOCATING FOR A SEMESTER DUE TO TRAINING OR COMPETITION If you there is a possibility of you relocating for training or competition purposes, please notify EAP staff. We will help to identify options to allow you to continue your studies wherever possible. UQ has facilitated a number of elite student-athletes in completing their studies through Cross Institutional Agreements with other domestic universities, where applicable. There may also be options to negotiate the delivery mode of your course or engage in an international exchange program. Please contact your EAP staff for further support and information. CLASS ABSENCE DUE TO ILLNESS, INJURY, COMPETITION OR SPECIAL CONSIDERATION If you know you will be absent from classes, practicals or tutorials for an extended period of time, you should contact your Course Coordinators as soon as possible. In most cases, class materials and notes will be online, but sometimes lecturers cannot provide these materials, which may affect your ability to complete the course. Any requests for support or extensions must be followed as outlined in the Electronic Course Profile. 10 | ELITE ATHLETE PROGRAM
ASSESSMENTS My.UQ and the Electronic Course Profile details the process required to access the following support. Be mindful that you may need to provide robust documentation to verify which commitments will prevent you from completing any course requirements. ASSIGNMENT EXTENSIONS Unfortunately, extensions are not possible for every piece of assessment. It is important to remember you must follow the processes outlined in your Electronic Course Profile when initially making your extension request and that you may be refused should you fail to provide sufficient supporting documentation. Please note, you must take all possible measures to submit your work by the due date before requesting an extension. The following are acceptable reasons to apply for an extension: Elite Sporting Commitments If you are an elite student-athlete representing Australia – or an Australian state or territory – you may be eligible to apply for an extension. To apply for an extension, you must hold UQ Elite Athlete Consideration for the current semester. See the Programs and Assessments for Elite Athletes Procedures Policy for more information. Medical Grounds If a medical condition has jeopardised your ability to complete a piece of assessment on time, you are eligible to apply for an extension. To be successful, a medical practitioner must assess your condition and provide a signed medical certificate. See Applying for an Extension for more information. Be mindful, you may still be required to submit what you have completed of the assignment to that date. Other There are a number of other reasons you can apply for an extension. SUPPORTING EVIDENCE Acceptable supporting evidence A letter written on a state or national sporting body’s letterhead is acceptable supporting evidence for an extension. The letter must confirm the specific event and dates of the event or activity. The letter must also describe the nature of your sporting commitment and explain how it affects your ability to submit the assessment item on time. Unacceptable supporting evidence Sporting events that are not at a national or international level may not be accepted when applying for an extension. Any additional holiday time before or after elite sporting commitments are also not acceptable reasons to apply for an extension. DEFERRED EXAMS If you are seeking a deferred exam, you must hold Elite Athlete Consideration. Please contact EAP support staff for assistance. Instructions on how to apply for a deferred exam can be found on the My.UQ website (as seen below) and should also be detailed in the Electronic Course Profile. APPLY ONLINE Log into mySI-net > mySi-net student home page > my SI-net myRequests > Deferred Examinations Requests • Your exam will be scheduled during the deferred exam period (July or December) at your enrolled campus. • Do not apply if you are not yet officially registered as an elite athlete. Finalise your registration first, then apply to defer your exam. 12 | ELITE ATHLETE PROGRAM
IMPORTANT • An Exam can only be deferred once, and only to the official deferred exam period. No further deferral is allowed. Consider your availability in the deferred exam block when deciding to apply for a deferred exam. • Exam period start and end dates are typically published five (5) weeks before the end of semester exam period, so start the process as early as possible. • The exam timetable (showing specific dates and times) is typically released after 5pm on the Friday five (5) weeks before the exam period (June and November exam periods). • The live link in SI-net to apply for deferred exams will appear on the Monday after the exam timetable is released. END OF SEMESTER EXAMS Should you be away for competition during the end of semester exam period, you will need to apply for a deferred exam. Should your application be approved, your deferred exam will be scheduled to the deferred exam block (dates accessible in the UQ Calendar). If you are away during the deferred exam block you cannot apply for another deferral. Instead, you will need to sit the exam wherever you are. This is done through an ‘Off-campus Exam Application’. Please note, applications for an Off-campus Exam will be accepted no later than 14 days before the first day of the examination period. If you think you may need to apply for an Off-campus Exam, please speak to your EAP staff as soon as possible. REMEMBER • Always upload official supporting documentation from your sporting body, coach or team manager, on official letterhead paper, showing the dates and locations of your sporting commitments. You must upload your supporting documentation at the time you apply and in PDF format. It is not possible to apply first and add documentation later. • Apply on grounds of ‘Registered Elite Athlete Sporting Event’. 13
APPLYING FOR OFF-CAMPUS EXAMS If you cannot sit an end of semester exam due to elite-level sporting commitments, either domestic or international, you can also apply for an Off-campus Exam. If you are seeking an Off-campus Exam, you must hold Elite Athlete Consideration and contact UQ Examinations early to discuss possibilities. APPLY ONLINE my.UQ > Make a Request > Exams and Assessment > Off-Campus Exam • Please contact your EAP team if you need assistance with this. • In many cases it is not possible to travel to an approved UQ exam centre. In that case, you must nominate your team manager, coach, or other authorised person (must not be a family member) to act as your supervisor at your location. • You will need to provide details of the exam supervisor to UQ Examinations well in advance. Always email examinations@ uq.edu.au to clarify what is required and provide details with plenty of notice. FINANCIAL ASSISTANCE & SCHOLARSHIPS UQ offers a number of Sporting Scholarships to assist exceptional athletes balance their studies with the demands of elite-level sport. Student-athletes can apply online for UQ Sporting Scholarships via the UQ Sport website. In addition to Scholarships, the UQ Sport Competition Subsidy is available to student-athletes and can offset eligible competition expenses. 14 | ELITE ATHLETE PROGRAM
UQ SPORT COMPETITION SUBSIDY The UQ Sport Competition Subsidy provides funding to assist student athletes with out-of-pocket competition costs, at eligible international and national sporting events. This program, funded through Student Services and Amenities Fee (SSAF) is an initiative of UQ Sport and administered by UQ Sport Academy. This subsidy can provide students with a percentage of eligible out-of- pocket expenses, at thee (3) performance categories, up to an annual limit of $2,000. Eligible students can apply for the subsidy at each of these performance categories once per sport, per calendar year, up to the annual limit. For a detailed breakdown of these performance categories and how to apply, please visit the UQ Sport website. UNIVERSITY SUPPORT SERVICES The UQ Careers and Employability team can help you plan your career, improve your employability and help you gain a competitive edge during your time at UQ. Support services include online courses and career assistance workshops. The UQ Steps to Success is also available through UQ Student Services. It is one of Queensland’s premier providers of high performance services and programs to elite-level athletes, teams and coaches. The Academy delivers first-class strength and conditioning programs, sports science testing, coaching workshops, athlete counselling and more to a range of clients including elite-level students, staff and the general public. UQ SPORT FITNESS CENTRE The UQ Sport Fitness Centre has everything you need to keep fit. The venue features facilities for cardio & weight training, group fitness, martial arts, indoor sports and much more. 18 | ELITE ATHLETE PROGRAM
UQ SPORT AQUATIC CENTRE The UQ Sport Aquatic Centre is one of the premier swimming facilities in Brisbane. It boasts an Olympic-sized 50m pool, a 25m pool (opened in 2017) and a Learn-to-Swim pool dedicated to kids programs. The Aquatic Centre also offers a range of activities, including Adult & UQ Sport Academy Swim Squads, Learn-to-Swim lessons and triathlon training. There is always a minimum of four lanes available for lap swimming, plus if you’re thirsty, the Centre serves up great coffee too! UQ SPORT TENNIS CENTRE The UQ Sport Tennis Centre is the home to 21 flood-lit courts, including two synthetic grass courts. Services include court hire, racquet repairs, coaching, and Group Fitness classes, as well as regular tennis tournaments and social events. The Centre is located next to Saint Lucy Café – home to some of the best food on campus, and a great spot to relax. UQ SPORT ATHLETICS CENTRE The UQ Sport Athletics Centre is one of Queensland’s premier athletics venues. The Centre, which features a 565-seat grandstand, rectangular playing field, and facilities for jumpers. It also hosts state and national-level athletics meets – including the UQ Sport 1500m Classic – as well as coaching programs for junior and elite athletes. The Athletics Centre is where you will find the offices of the UQ Sport Academy and UQ Rugby Football Club. PLAYING FIELDS & COURTS UQ Sport has more than 10 fields located on the St Lucia campus – including two synthetic turf pitches – and three fields at the Gatton campus. These fields host home games for a number of UQ’s Sporting Clubs, as well as social and college fixtures competitions. UQ’s St Lucia also features a number of courts – including netball, basketball, beach volleyball, and multi-purpose courts – as well as cricket nets. UQ Gatton also boasts squash, tennis and basketball courts. 19
UQ SPORTING CLUBS Joining a UQ Sporting Club is a great opportunity to get more involved in your sport, or to meet new people on campus. There are close to 40 clubs in a fantastic range of sports, catering for the recreational participant through to elite-level. But best of all, they are open to absolutely everybody. Clubs include the likes of athletics, cricket, AFL, swimming, rugby, boxing, aikido, scuba diving, and many more. SOCIAL SPORT If you’re looking for a bit of friendly competition in your favourite sport, or want to try a new sport, you can sign up to a number of Social Sports at UQ. Competitions are open to UQ students and alumni, as well as the general public, with people of all ages and abilities catered to. This is a fun and affordable way to squeeze some extra exercise into your schedule, or let off steam after a study session. Enrolments open at the beginning of each semester, including summer. COLLEGE SPORT If you’re a UQ College resident, College Sport is a great option to explore friendly game-play throughout semester. With tournament- style games often drawing music, cheering and infectious crowds - all in the name of College spirit - teams truly build a sense of camaraderie. EVENTS SCHOLARSHIP INDUCTION WORKSHOP The UQ Sporting Scholarship induction event is conducted the week before Orientation Week and is compulsory for all sporting scholarship recipients. The event provides an opportunity to meet other student-athletes, gain an understanding of the scholarship program and to ask any questions directly to the EAP staff. SCHOLARSHIP LAUNCH The UQ Sporting Scholarship Launch is an event that introduces Scholarship recipients to the generous donors of the program, as well as other key stakeholders and academic staff. Attendance at this event is compulsory for all Scholarship holders. UQ SPORT CLUB & SPORTS AWARDS The UQ Sport Club and Sports Awards dinner is a chance for teams and athletes to let their hair down after a year of gruelling training and tough competition. Most of all, it’s a celebration of outstanding sporting achievements, club commitment and a way to show appreciation to all those involved in running UQ Sport Clubs. Not only is sporting excellence championed, but the dedication of coaches and efforts of volunteers is also recognised. UQ BLUES AWARDS The UQ Blues Awards is one of the most prestigious sporting events of the year. Since 1912, Blue and Half Blue Awards have been presented to champion UQ sportsmen and women, in recognition of their outstanding sporting achievements, and for enhancing the reputation of university sport. To be awarded a University Blue at the annual awards night is one of the highest accolades a student-athlete athlete can receive. 21
COMPETITIONS UNISPORT NATIONALS UniSport Nationals events allow students the opportunity to compete head-to-head with athletes from 43 Australian universities in a number of national standard sporting competitions. The Nationals are comprised of our two flagship events, Nationals Div 1 and 2 (formerly known as Uni Games), as well as a number of standalone competitions throughout the year, including Nationals Snow, T20 cricket, 3x3 Basketball, and Triathlon. Results from all Nationals events are accumulated to crown a champion overall university. In 2018, The University of Queensland won the first-ever Nationals Div 1 championship. To find out more information about representing Team UQ at a Nationals event, please contact TeamUQ@uqsport.com.au VARSITY CLUBS CLASH Clubs from UQ and QUT battle it out across a number of sports throughout the year, accumulating points to crown a champion university. Don maroon and make your voice heard as you support Team UQ in the must-see battle of the year. Share the moment in 2019 with #VCC19. GREAT COURT RACE The Great Court Race is one of The University of Queensland’s proudest traditions. First held in 1985 to celebrate UQ’s 75th anniversary, the event is based off Cambridge University’s famed Great Court Run - immortalised in the film ‘Chariots of Fire’. The majority of races take place around the state heritage-listed Great Court at UQ’s St Lucia campus – spanning over a distance of 636m. 1500M CLASSIC The UQ Sport 1500m Classic is a regular fixture in the Queensland Athletics calendar, annually kicking off the track and field season. The event features a range of 1500m events – including school-age, masters, race walking, and elite-level races. Year-on-year, the 1500m Classic attracts hundreds of competitors from all over Australia, with all races seeded based on performance. 22 | ELITE ATHLETE PROGRAM
KEY CONTACTS EMILY BURROWS Personal Development Advisor Emily has a Bachelor of Psychology and a Masters of Counselling, specialising in Athlete Welfare, Performance Psychology and Team Culture. Emily has also been a member of the National Junior Hockey Squad and the Queensland Academy of Sport, interrupting her studies to live in the United Kingdom and play in the National Scottish League. Emily continues to represent at a State level as a member of the Queensland Scorchers. Emily is passionate and highly experienced in helping athletes live balanced and healthy lives. P +61 7 3346 6243 E emilyb@uqsport.com.au EMILY BATES Elite Athlete Program Officer Emily earned a Bachelor of Exercise and Sport Sciences from The University of Queensland, specialising in athletic development. While completing her degree, Emily represented the Brisbane Lions in the AFL Women’s (AFLW) competition, and was twice selected as an All Australian player. Emily continues to represent the Brisbane Lions while working part-time in the UQ Sport Elite Athlete Program.
