The impact of COVID-19 pandemic on student exchanges • JYU management will make a decision on mobilities during the autumn semester on 18 May We will inform students nominated for the autumn semester as soon as possible after this decision • For the time being, management’s decision on 9 October, which was complimented on 15 January, states that • student exchanges are possible to: EU- and ETA-countries To countries outside the EU- and ETA-area which are defined by the Finnish Institute for Health and Welfare (THL) as “green”, and to South- Korea and Japan • internships are possible to the same countries as student exchanges, if the student has an internship agreement and if the sending department/faculty grants credits for the planned internship JYU. The impact of COVID-19 pandemic on student exchanges • It’s impossible to predict the COVID-19 situation in different countries next autumn we are still forced to tolerate uncertainty • Whether or not a mobility can take place will be determined just before the beginning of the mobility period • Travel restrictions may still be possible in the autumn Please follow the instructions of JYU, THL (Finnish Institute for Health and Welfare) and the Ministry for Foreign Affairs of Finland (or your home country) • Please notice that special arrangements during the pandemic may cause you extra expenses • You will be responsible for your own mobility (within the restrictions set by JYU) • To support you, when you make your decision: Impacts of the coronavirus epidemic on student exchanges International Coordinators at Faculties International Office JYU. The impact of COVID-19 pandemic on student exchanges • The host university may decide at short notice not to accept exchange students • The host university may offer all or the majority of courses online • The host university may need to cancel courses • There may be breaks in teaching or the semester may be interrupted • Incoming exchange students may be required to stay in quarantine for 14 days after arrival. You may also be required to pay for the quarantine accommodation separately. • Possible COVID-19 test before the exchange, at the airport and/or within 72 hours of arrival. The impact of COVID-19 pandemic on student exchanges • The accommodation arrangements for exchange students may vary from normal during the exchange • Orientation programme and advising of students may be organised virtually • Free-time activities normally arranged for exchange students may be cancelled or implemented virtually • The host university may follow the health of students with no symptoms, for example by measuring their temperature when entering campus • You may be required to stay in quarantine for 14 days when coming back to Finland and you may also need another COVID- 19 test JYU. Study planning • Make a study plan before your exchange, discuss your course choices with your faculty/programme coordinator • Learning Agreement (LA): Erasmus-students: new, online LA will be made through the Mobility- Online from June onwards you will receive instructions about this by email in June Other programmes: LA is done as part of your Mobility-Online workflow • Approving the LA Erasmus-students: faculty-level international coordinators at JYU and your host university will approve your LA electronically Other programmes: send your LA for approval to your faculty-level coordinator and then to your host university by email • 30 ECTS (European credit system) cr. per semester JYU. Apply for housing • Student housing apply through host university • From the private sector book temporary accommodation (hostel, Airbnb etc.) for a week before the semester starts check what is included in the rent and termination • Rent/sublet your room: conditions etc. • Maintain your right of residency in Student Union Soihtu (student village), i.e. you Apartment Forum can get a similar type of residence (incoming students!) when you return, or you can sublet your apartment HousingAnywhere.com • NB! Travel grant • Apply in Mobility-Online Instructions by email from the International Office Nordplus students: apply from your Faculty coordinator Erasmus students to Switzerland: instructions concerning your scholarship from host university or from JYU, instructions will be sent by email NB! Apply for the scholarship only after your exchange is certain • Dates of your exchange period Beginning date = The day when you need to arrive to your host university (recommended arrival date, first day of orientation, first day of a language course) End date = The last day you complete studies, for example the last exam date • Grant Paid on the last day of the preceding month before your exchange No effect on the Finnish student financial aid (opintotuki) Not tax-deductible JYU. Travel grant • Precondition for the grant: physical exhange period at the host university • You are eligible for the grant if you reside at the host university even if the teaching is online • You are not eligible for the grant for a virtual exchange conducted from Finland • Erasmus-exchange: the quarantine period can be counted as part of the scholarship period JYU. Finnish study aid • Normal study aid (about 250€/month) • Fixed housing allowance (210€/month) • Study loan abroad (800€/month) • Apply online (www.kela.fi) • Kela will receive a confirmation of your exchange dates when you apply for your scholarship in Mobility-Online if you need a certificate of your finances earlier (for your host university application, visa application), please ask for an exchange certificate from Intl. Register for attendance at JYU • Register for attendance in the OILI service: https://oili.csc.fi/continuing-students/ If you cannot register in the OILI service (e.g. if your JY user account is not active, or you do not have internet banking services in a Finnish bank), you can register by paying the Student Union membership fee to the Student Union’s account. After paying the fee, you must show the receipt of the payment at the Student Services (building T, 2nd floor). Please also pay the health care fee to Kela • If you register after 31 July, you are required to pay a re-registration fee as well • JYU tuition fee requirement also during exchange! JYU. Residence permits and visas 1/2 • Nordic citizens to a Nordic country No residence permit / visa required, bring a valid passport • EU citizens to another EU country A residence permit to be obtained in the host country • Non-EU citizens to an EU country You can stay up to 360 days in another EU country. You must register in the host country (if required). Find out beforehand! Requirement: your residence permit in Finland must be valid for the entire exchange period. JYU. Since 1863. 27.4.2021 28

Vaccinations • Fill in YTHS (FSHS) pre-travel health assessment form via self service : https://www.yths.fi/en/services/a-prevention-of- infectious-diseases/travel-health-advice/ 3 months prior to your departure to see if any vaccinations are needed • Basic vaccinations: tetanus-diphteria, polio and MMR (measles, mumps and rubella) are free • Other vaccinations: ask for a prescription at YTHS and buy the vaccination from a pharmacy • Malaria medication needed for some areas • If you need a health certificate for your host university, please notice that YTHS no longer makes these. Medications • Do not quit taking medication prescibed to you during the exchange! • Buy long-term medication for the entire exchange period E.g. asthma, allergies, diabetes, blood pressure, birth control pills etc. Remember to show your prescriptions at customs Take the customs regulations of the host country into consideration • Finnish prescriptions are valid in the EU • Get a prescription in English from your doctor • Finnish prescription medicines sold in online pharmacies JYU. Travelling • Wait before making any travel arrangements until JYU and your host university has confirmed the exchange and you have confirmation that you can travel to your host country • Make sure that your tickets can be changed if necessary and that they will refunded in case of cancellation • Consult your credit card company on the possible refunds in case of cancellation of travel arrangements • Please notice the possible entry regulations of the host country: a transit through another country may affect your entry into the host country JYU. Cancellation or interruption of exchange • You can cancel the exchange at any time • Notify the cancellation to the International Office and to the faculty-level coordinator • If you are eligible for Finnish Study Aid, also notify Kela • The exchanges cancelled due to the COVID-19-pandemic will not affect your future exchange applications negatively JYU. Cancellation or interruption of exchange: expenses 1/2 • Erasmus, Nordlys & Nordplus (primarily): if the exchange is cancelled due to the pandemic: No expenses return the grant Some expenses, the exchange has begun If your travel or insurance company will not cover the costs occurred, you may keep the whole grant or part of it, depending on the expenses and exchange programme Erasmus: Some expenses, the exchange has not yet begun If your travel or insurance company will not cover the costs occurred, the decision on the size of the grant will be made by EDUFI JYU. Remember during the exchange… • Wear a mask, keep social distance whenever possible, and maintain good hand hygiene. Follow the instructions of your host university. • Keep the European Health Insurance Card and/or your insurance card and insurance information with you at all times. • Keep track and follow the local regulations on the COVID-19- pandemic and possible restrictions and curfews. • When you get to the host destination, make sure where you can get healthcare and whom you can contact in case you need help. • Read your emails regularly and keep your home and host university coordinators informed of any changes in your mobility period. • Follow reliable medias and formal announcements. • Plan ahead the possible living arrangements in Finland, in case your exchange is cancelled.
