D1.18 Report on Information and presentation materials PUBLIC 1 EXECUTIVE SUMMARY The document D1.18 (Report on Information and Presentation Materials (M25)) is an overview of all the dissemination and communication activities that have been performed by the consortium of the POLYCARE project during the current reporting period (M18-M24). The main objective of this document is to evaluate and analyse the impact obtained by them. As in D1.5 deliverable, a range of dissemination materials are presented within D1.18: videos, photos, papers, posters, publications, articles... The deliverable is the result of the previous dissemination plans and their proposed strategies so far. The list of dissemination and communication activities proposed from the beginning or the project can be found in the different versions of the Dissemination Plan, these documents (D1.7, D1.20, D1.21 and D1.22) are submitted to the European Commission every six months (last version was submitted in December 2017). The general approach in this document is related to the strategies of the dissemination plans commented above and with the KPIs (Key Performance Indicators) proposed in the DoA. Page 7 of 48

D1.18 Report on Information and presentation materials PUBLIC 3 GENERAL STRATEGY AND IMPLEMENTATION 3.1 Dissemination and communication strategy development phase As discussed in D1.5 document, the methodology followed to define the dissemination and communication strategy for the POLYCARE project was described in detail in the document D1.7 (Dissemination Plan) that was submitted in June 2016 to the EC. As summary, this methodology is split in three phases: • Identification (section 3.2 of D1.7) This phase identifies the objectives and needs which the dissemination plan should consider in order to establish an appropriate strategy and achieve the expected results. • Design (section 3.3 of D1.7) The main elements of the dissemination plan are designed in this phase: context, communicators, channels, messages and target audiences. • Execution (section 3.4 of D1.7) The main elements of the dissemination plan are matched in this phase to ensure optimized results: - Specific objectives vs. Target audiences - Target audience vs. Communication channels and messages - Communication channel vs. Actions The details of all this information may be found back in the D1.7 document referenced above. In addition to this, the results obtained in a first phase of the project (development phase) shown in document D1.5, were deeply analysed in the third version of the Dissemination Plan (D1.21) to propose and improve the dissemination actions. New specific strategies were proposed to increase the impact and awareness created by the project. The execution of the communication and dissemination activities that have been performed in accordance with the established strategies derived from (D1.7 and D1.21). Page 10 of 48
D1.18 Report on Information and presentation materials PUBLIC 3.2 Dissemination and communication strategy pilot phase The methodology to the dissemination and communication strategy was updated in D1.21 and D.22 documents and the proposed strategies were based on the results and analysis provided within the deliverable (D1.5). The next version of the Dissemination Plan (D1.23) to be submitted in June 2018, will take into account the results and the analysis of the current document (D1.18). A short overview provided a basic indication on how these documents are related. The methodology has been divided into four phases: • Evaluation analysis current materials (D1.5 and D1.18) Within these documents all information and materials from M1 to M24 have been provided. The results will be compared to the KPIs and analysed for the purpose of potential improvements. • Design of new improved communication actions (D1.21 and D1.22) The next documents of the dissemination plan were based on D1.5 as were proposed new communication actions based on the analysis and improvement areas provided here. • Execution new communication actions (M25-M30) Following D1.21 and D1.22, the proposed communication actions will be implemented and carried out throughout the next 6 months. • Revaluation and improvement new communication actions (D1.23) After six months, D1.23, the new dissemination plan will re-evaluate the communication actions regarding effectiveness. Working strategies will stay in place and ineffective strategies will be replaced by new ones. More details on this methodology can be found in D1.21 and D1.22 documents. Page 11 of 48
D1.18 Report on Information and presentation materials PUBLIC 4 TARGET CAUDIENCES The identification and selection of the target audiences to which the dissemination and communication activities are focused have been key points to establish an efficient communication strategy. The target audiences were identified in the document D1.7 (Dissemination Plan) but they are mentioned once again since they are of high importance and are the foundation of all communication activities. For that, audiences have specific objectives within the scope of dissemination. Based on those objectives, communication channels and actions have been determined to ensure more adequate and relevant results. All this information was described in more detail within the D1.7 deliverable. Page 12 of 48
D1.18 Report on Information and presentation materials PUBLIC 5 DISSEMINATION AND COMMUNICATION ACTIVITIES This section aims to show the current status of the dissemination and communication activities carried out during the period between June and December 2017 (current reporting period) and it is based on the different KPI categories from the project proposal. As in the document D1.5 (submitted on May 2017 to the EC), the performed activities, sorted by type, will be covered in the following subsections: - POLYCARE website - Social Networks - Events, conferences, workshops, and presentations - Publications and press - Others 5.1 Website The first version of the website of the POLYCARE project was published on May 2016. Their main objective is to give to the people a first impression of the project, that they can learn about it and inform to the potential stakeholders about updates. The development process and the structure of the POLYCARE website were described in the first version of this document (D1.5). The page of News [1] and the Calendar of Events and Conferences [2] related to the POLYCARE project are updated regularly. 5.2 Social Networks This section shows the communication actions with regards to the social networks in POLYCARE project. The social networks have the goal of creating awareness through relevant content targeting stakeholders online generating visibility and engagement through digital channels. 5.2.1 SMART objectives The POLYCARE social network objectives are SMART objectives which have been determined within the scope of further dissemination, business objectives in order to contribute to the general aim of the project. POLYCARE being a research and innovation action (R.I.A) does not require the social networks to generate ROI. The Page 13 of 48
D1.18 Report on Information and presentation materials PUBLIC strategy applied within the social network is focussed on informing and engaging stakeholders. As mentioned before, the objectives which are defined in the DoA (section 3.2) for the whole projects are shown below: • SMART objective Facebook: 250 likes by the end of the project. • SMART objective Twitter: 500 followers by the end of the project. • SMART objective LinkedIn: 200 members by the end of the project. • SMART objective YouTube: Create 5 YouTube videos by the end of the project. 5.2.2 Social network audit As was discussed in D1.5 document, the social media audit provides an overview of all social channels that POLYCARE utilizes in order to reach their stakeholders. It consists of the social network and its URL as well as a mission statement in which the goal of every particular network is explained. Finally, all channels will be controlled on their visual representation. Stakeholders shouldn´t be confused by different impressions and messages across channels. It is of essence to create a single brand image. D1.18 Report on Information and presentation materials PUBLIC 6 RESULTS This section analyses all the results of the dissemination activities for the current reporting period of the project (M18-M24). So firstly, it shows the results obtained in the following order: • The POLYCARE Website • Social networks • Events and presentations • Publications and press Secondly, this section includes a deep analysis comparing the results obtained with the set KPIs with the purpose of identifying areas for improvement. Finally, the last section of this chapter will summarize proposed improvement areas. 6.1 Results and analysis website As in the previous version of the document (D1.5), the results of the POLYCARE website are retrieved from the linked Google Analytics page. All relevant data and analyses are shown in the individual sections below. Four different analyses have been carried out with the purpose of identifying weak aspects within the website. The research areas contain: • Site performance - Browser and OS - Device performance • Audience overview - All vs new users - New vs returning users • Traffic performance - Referring sites - Organic traffic - Direct traffic • Demographics - Location Within the scope of these analytics, main areas from the Google Analytics interface have been applied to determine success within the scope of the objectives from POLYCARE website for the purpose of dissemination. These areas of interest are: new users, pages/session, duration, bounce rate and demographics. Page 20 of 48
D1.18 Report on Information and presentation materials PUBLIC 6.1.1 Site performance This section provides an indication of how the website works across different browsers, operating systems as well as devices. The purpose is to identify whether there are any issues, which only affect certain browsers, operating systems or devices. 6.1.1.1 Browser and OS Figure 2 – Browser data (M18-M24) Figure 3 – Operating system data (M18-M24) 6.1.1.2 Device performance Figure 4 – Device performance (M18 – M24) The website performs across OS and different browsers in a similar way that in the previous period reported in the D1.5 (M5-M17). Analysing the previous tables, it is Page 21 of 48
D1.18 Report on Information and presentation materials PUBLIC observed that there is still an improvement margin to increase traffic in all browsers and operating systems. The numbers shown in the device table (figure above) continue to demonstrate that the website is visited mainly by desktop users. Approximately 89% of visits come from desktop computers or laptops (in direct contrast to the general trend of increasing traffic on mobile devices). However, if we look at the bounce rates, the website does not perform weaker on desktops vs mobile devices. Therefore, the main reason why the number of desktop visitors is 88% is because the targeted audiences are mainly professionals who in most cases conduct their work from their desk. Given that, they will access the website through their work computer. In order to increase the mobile and tablet numbers, it was suggested in the previous version of this document (D1.5) to apply minor changes to the website (web design and content should be more attractive to readers on a smaller screen). Minor changes in design and writing can result in reaching a new mobile audience. This part is related to the traffic section and will be analyzed in more detail in that section. 6.1.2 Audience Overview This new version of the document will cover from M18 to M24 of the POLYCARE project: 6.1.2.1 All vs new users Figure 5 – Audience Overview: all vs new users Page 22 of 48

Based on these results (the numbers are better for returning visitors), it looks that the website continues to perform better among returning visitors. They are mainly stakeholders who are involved with the project and are more interested to be updated on the progress of the project compared to the new visitors. The Consortium also wants to improve the website for new visitors, so it will continue taking various measures to make the website more attractive to them in terms of informing and involving to the stakeholders so that they want to obtain more information about POLYCARE. In addition, stay longer on the website, visit more pages and reduce the bounce rate are also objectives to be achieved with the improvements to be performed. This will be further described within the improvement area section of this chapter. 6.1.3 Demographics 6.1.3.1 Location Figure 7 – Location (M18-M24) Page 23 of 48
D1.18 Report on Information and presentation materials PUBLIC As in the previous period of the project (M5-M17), in demographics terms, the location data of the website indicate that the website is visited significantly more in Spain compared to the other countries. Based on that, it can be made two assumptions: 1. There are significantly more stakeholders. 2. People are more enthusiast about the project in Spain. The main goal is raise awareness and contributes for the spread of the POLYCARE solutions. In order to do this, it continues to be necessary to increase the numbers of visitors in Germany and France. 6.1.4 Traffic 6.1.4.1 Organic, referral and direct traffic Figure 8 – Organic, referral and direct traffic (M18-M24) Direct traffic • Approximately 60% visitors already familiar with POLYCARE thus visit the website by directly typing the address in the address bar of their browser. Organic traffic • Approximately 25% visitors who are attracted to the search engines. It could be optimized by Search Engine Optimization (SEO) and Search Engine Marketing (SEM). However, as POLYCARE is a R.I.A. and not a community project is not essential to optimize this area since the Return on Investment (ROI) will not be at the desired level. Referral traffic • Approximately 17% visitors attracted from other websites such as news websites or partners. Page 24 of 48
D1.18 Report on Information and presentation materials PUBLIC The percentage of direct traffic is approximately 60% and it is a fairly high number. The reason for this is that much of the current traffic is generated by current stakeholders and the dissemination is done at conventions (people who receive a flyer, including the web page, are considered as direct traffic). Taking into account that healthcare stakeholders are not so much in social networks and the consortium has attended many conventions, it is logical that this number is quite high. However, the consortium is convinced that the project can also have an impact through digital channels. Therefore, it is essential to improve organic or reference traffic. As we have mentioned above, with respect to the organic traffic, SEO (Search Engine Optimization) and SEM (Google Ads) could be more optimized but this is not the main objective of a Research and Innovation Action such as POLYCARE (RIA) ( and, therefore, it is not the main objective of the project to implement the solution and create a community. However, reference traffic can be optimized more easily and without additional costs. These changes are planned to be carried out in the next phases of the project. 6.2 Results and analysis Social networks This section displays the results obtained by the social networks of the POLYCARE project (Twitter, Facebook, YouTube and LinkedIn) for the reporting period of this document (M18-M24). In addition, the section closely will evaluate the results and role the social networks play within the scope of the project. 6.2.1 SMART objectives Analysing the results from June to December 2017, it could be said that most of the objectives proposed (section 5.2.1) are on track, have been achieved or even surpassed: Page 25 of 48

The exception is for the YouTube channel which is very conditioned by the lack of publication of self-produced videos during this semester. However, the consortium is aware that the values of the interaction ratio (engagement rate) has been on quite low for this reporting period (M18-M24) of the project. This is due to the fact that the project has been in the development phase. Throughout this phase (development phase), the stakeholders and end-users do not interact with the solutions which makes it hard to form an opinion or discussion about it. Throughout the pilots (second phase), the social channels are expected to be more active and will be used to directly communicate with stakeholders. The results will be evaluated to determine which actions could be taken to increase ratios for the next phases of the project. Page 28 of 48

Objectives are set on a weekly basis and the guidelines have been followed carefully. Engagement a. Publications: publications showing a certain content without the initial intention to generate the conversation or interaction with other profiles. b. Engagement: publications that are made with an intention to generate conversation and community through the use of mentions or other profiles related to the information shown. 2. Type of diffusion a. Own diffusion: publications made by ourselves through the profile of the social network b. Re-diffusion others: Publications of other profiles that are shared through the profile of POLYCARE through the use of RTs, shares, recommendations etc. 3. Type of content a. Corporate: All those related to communications related to the POLYCARE project b. Thematic: All those publications on topics related to the project such as eHealth, mHealth, Healthcare etc. c. Event: All publications related to events in which POLYCARE participates (congresses, consortium meetings, conventions ...) d. Special: All those publications that are made for reasons other than the previous ones, that are related to the project, and which involve a design effort (infographics, videos ...) Regarding the analysis of all available social media data, the objectives of publication and community generation were met. However, engagement achieved (impressions, RTs, I like, clicks on links ...) have been adjusted to the phase of the project. Considering the POLYCARE solution just finished the development phase, engagement will be at a lower level compared to when the solutions reach the end- users. The engagement is expected to be higher during the pilots (following phase of the project). This is due to the fact that the end-user will actually use the solutions. Throughout this period, a more active approach will be applied to involve since, the consortium is aware that the engagement numbers have the potential to grow. 6.3 Results and analysis events, conferences, workshops and presentations This section provides a general overview of all the events, workshops, conferences and presentations the consortium has organized or participated in. The consortium has been active in reaching out to stakeholders as well as engaging in the integrated care community. The press releases in this period have been lower than in the previous period which exceeded the initial planned amount. In next phases of the project, the end-users will interact with the solution so that the use of press releases will enhance engagement and increase awareness even more about POLYCARE. In this new period, there have been several publications as had been planned in the this second phase of the project so, the expected objective is being achieved.
