Terms and Conditions for Contract of Exhibit Space at Winter Clinic
The Exhibiting Company agrees to rent exhibit space from the Toronto Academy of Dentistry during Winter
Clinic to be held at the Sheraton Centre Toronto Hotel, in Toronto on November 6, 2015 and agrees to all
terms and conditions outlined on this contract and those in the exhibitor prospectus.
A signed copy of this contract must be accompanied by either a cheque for the full amount or a credit card
payment in order for this contract to be deemed confirmed.
The booth space amount is payment of the area designated on the show's floor plan assigned to the
Exhibiting Company by the
Toronto Academy of Dentistry during Winter Clinic and is strictly for the sole use of that Exhibiting Company.
Assigned booth numbers are allocated in August.
No exhibitor shall, without written approval of the Toronto Academy of Dentistry, assign, sublet or apportion
the whole or any part of the space allotted, nor exhibit any goods therein other than those manufactured or
handled by the Exhibiting Company in the regular course of business, or take orders in the exhibiting
company's space for any such goods. Violation may result in the closure of the booth.
The Exhibiting Company understands that it may only cancel the Contract for Exhibit Space by written notice
directed to the Toronto Academy of Dentistry on or before midnight June 14, 2015, at which time a full
refund will be issued less a $300.00 administration fee. Cancellation of exhibit space after midnight on June
14, 2015 will be subject to a 50% charge on the total contract price. No refunds will be given for
cancellations received on or after August 15, 2015
The Exhibiting Company agrees to assume and shall be liable for any and all liability for the negligence or
willful acts of omission by itself, its agents and employees including, without limitation, liability arising from
any damage to floors (including carpeting), walls, columns, or to standard exhibit equipment at the Sheraton
Centre Toronto Hotel or to other exhibitors' property located thereat. The Exhibiting Company agrees that it
will indemnify and hold non-accountable the Toronto Academy of Dentistry from and against any and all
losses, claims, suits and damages and liabilities of any kind caused by or arising from personal injury or
property damage sustained by any person arising out of the transfer, installation, maintenance, removal or
operation of the Exhibiting Company's exhibit or arising out of any breach or non-performance by the
Exhibiting Company of any of the terms and conditions set forth in this contract.
The Exhibiting Company will adhere to all rules and regulations outlined in their exhibitor kit available online
in August, from the Sheraton Centre Toronto Hotel, PSAV (for lighting and audio visual services), Provincial
Requirements for Exhibitor Electrical Equipment at Trade Shows, and Stronco - Canada’s Event & Expo
Services.
The Exhibiting Company acknowledges, by signature on contract, that it has read, understands and agrees
to be bound by the terms and conditions set forth in this contract and the terms of exhibit space rental
attached hereto.

Guidelines for Tabletop Displays
Exhibitors’ Displays
Must be in good taste and be safe. Exhibitors/sponsors and their displays may not
create either audio or noise that is excessively loud nor have any lights, pictures or video
that are objectionable. The Toronto Academy of Dentistry will be the final arbiter of
whether a display violates the exhibitor display rules. If an exhibitor or exhibitor display
is found to be in violation of the rules, the exhibitor will be notified and must
immediately correct the violation. Failure to do so will result in the exhibitor being
banned from further participation.
Registration as an exhibitor/sponsor for the Winter Clinic will be understood to be an
exhibitors acceptance of these rules.
All Exhibitors will display their materials on a six (6) foot table or multiple tabletop (s).
They stand 30” high, are 72” wide and 30” deep and include a covering and skirt.
All exhibitor tabletop displays must safely and entirely fit on the Tabletop (s). The
displays may not exceed the footprint of the Tabletop (s). No part of any exhibitor
display may not exceed a maximum overall height of 90” above the tabletop.
Exhibitor display power cords or wiring must hang behind the display. All exhibitor
electrical connections and wiring must conform to the hotel’s local fire code. Exhibitors
may place materials under the table as long as the table skirt fully covers them draping
normally.
All electrical, telephone, and IP connections must be ordered in advance and will incur
additional charges.

Honours & Awards Dinner Gala
Toronto Academy of Dentistry hosts its annual Honours Night Dinner Gala, in
recognition of Past Presidents, Honourary Life Members, ODA 50 year pin recipients and
Service Award recipients. At the Gala the Academy’s gavel will be passed from the
current President to the incoming President.
Prepare for a magical night. The evening will commence with a cocktail reception
followed by a sumptuous dinner and award presentation. Honours Night represents a
superb networking opportunity for industry to mingle and network with dedicated
members of Toronto’s dental profession as well as renowned speakers who will be
presenting the next day at Winter Clinic.
Tickets to attend this exclusive event are included in all sponsorship packages.
